Error message when a delegate tries to accept a meeting request for the manager in Outlook 2003: "Can't open <Manager Name>'s calendar. The folder could not be found"

SYMPTOMS

In Microsoft Office Outlook 2003, when a delegate tries to accept a meeting request for the manager, the delegate receives the following error message:
Can't open <Manager Name>'s calendar. The folder could not be found
This problem may occur even if the delegate is granted sufficient permissions to accept meeting requests for the manager.

RESOLUTION

To resolve this problem, install Outlook 2003 hotfix package that is dated April 28, 2009. For more information, click the following article number to view the article in the Microsoft Knowledge Base:

This hotfix introduces a new method in the way that Outlook internally locates folders. In a scenario in which this hotfix has not been applied, an outdated copy of cached data is used to locate folders. This outdated data prevents the folder from being successfully located. After you apply this hotfix, a slightly different method is used to locate the folder. The new method considers the possibility that the location data is outdated. The new method in locating folders is not limited to the meeting acceptance case. Therefore, it may be helpful in other scenarios in which you receive the folder error message. The meeting acceptance scenario is just the most common scenario in which Outlook is required to locate a folder and the folder data is outdated.

Additionally, the new method will change the behavior of Outlook in the following two scenarios:
  • In the Tracking Options dialog box, you select the After processing, move receipts to check box, and then click Browse to select a folder.
  • You create a new message, and then you try to select a folder to save the copy of the sent message instead of the Sent Items folder.
If you try to select a public folder as the target folder in these two scenarios, this hotfix will affect the behavior of the selection. When the hotfix is enabled, you will be able to select a public folder from the dialog boxes in these scenarios. However, the feature will not function as expected. For example, sent message will not be saved in the target folder. When the hotfix is disabled disabled, you will not be able to select a public folder from the dialog boxes in these scenarios. In either scenario, you cannot use a public folder, but the status of the hotfix affects how the errors appear to the user.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.

If you want to move receipts out of the Inbox after you process to a specific folder other than Deleted Items in Outlook 2003, follow these steps:
  1. On the Tools menu, and then click Options.
  2. On the Preferences tab, click E-mail Options.
  3. In the E-mail Options dialog box, click Tracking Options.
  4. In the Tracking Options dialog box, click to select the After processing, move receipts to check box, and then click Browse to specify a folder other than Deleted Items for the receipts.
When you create a new message and you want to specify a different folder other than the Sent items folder to save a copy of the ent message, follow these steps:
  1. In the new message window, click Options.
  2. In the Delivery options section, click to select the Save sent message to check box, and then click Browse to specify a folder other than Sent Items to save the copy of the sent message.
To disable the hotfix, follow these steps:
  1. Start Registry Editor.

      If you are prompted for an administrator password or for confirmation, type the password, or provide confirmation.
    • In Windows XP, click Start, click Run, type regedit in the Open box, and then click OK.
  2. Locate and then select the following registry subkey:
    HKEY_CURRENT_USER\Software\Microsoft\Office\11.0\Outlook\Preferences
  3. On the Edit menu, point to New, and then click DWORD Value.
  4. Type DisableFolderPickerChg, and then press ENTER:
  5. Right-click DisableFolderPickerChg, and then click Modify.
  6. In the Value data box, type 1, and then click OK.
  7. On the File menu, click Exit to exit Registry Editor.
