SYMPTOMS

Even though you set up alerts by using a filter for the custom view on a SharePoint document library in Microsoft Windows SharePoint Services 3.0 or in Microsoft Office SharePoint Server 2007, you receive alerts for every file that is uploaded to the document library. You expect to receive alerts for only the files that match the filter criteria.

CAUSE

This problem occurs because the upload process uploads the file while it applies the default values, if any exist, for custom columns on the file. You can change these custom values only after the upload is successful. However, the alerts engine may be triggered by the default values.

WORKAROUND

To work around this problem, use one of the following methods.
  • Do not set default values for columns that determine the filtered view in which the document appears.
  • Require content approval for items that are submitted. This option can be set in the document library versioning settings. Additionally, this option prevents the alerts engine from being triggered before the values are set correctly.
