Information about where to buy and how to change a printer cartridge

This content is designed for beginning or intermediate computer users.

When your printer cartridge (or printer cartridges if your printer has multiple cartridges) must be replaced, how do you replace it? As you may know, Microsoft does not manufacture printers. Therefore, any help that we can offer you will involve sending you to the Web site of your printer manufacturer or to an office supply retailer. They are the printer experts, and they will be able to help you with printer cartridge issues better than we can. So in this article, we only offer you some general information, some of which you probably already know.

Before you start
To start, you must know the make and model of your printer. To determine the make and model of your printer, you can do either of the following items:
  • Check the printer. The make and model are usually on the cover.
  • See the documentation that was included with your printer.

You might also have to know the model of your printer cartridge. This information is usually listed on the cartridge itself. To locate this information, you might have to remove the cartridge.

If you do not know how to safely remove the cartridge, see the documentation that was included with your printer. If you no longer have this documentation, connect to the Web site of your printer manufacturer. Printer manufacturers usually have user guides available online for their printer models. These user guides describe how to replace printer cartridges. For links to Web sites for some common printer manufacturers, please see step 1.

Step 1Buy a new printer cartridge.
The first step to replace an old printer cartridge is to buy a new one. You can buy new printer cartridges from several sources:
  • You can buy them online from the manufacturer of your printer.
  • You can buy them online from an office supply retailer.
  • You can buy them from an office supply store.

Buying a printer cartridge from your printer manufacturer online

If you want to buy a new printer cartridge from your printer manufacturer online, we have listed links to Web sites for some common printer manufacturers. When you connect to the Web site, you generally want to do the following things:

  1. Find where you can select your printer make and model.
  2. Find a link with text that resembles "Supplies & Accessories."
  3. Find a link to the user's guide that will help you install the printer cartridge correctly.

The following example is only one of many examples of what the Web page that you want to reach might resemble on your printer manufacturer's Web site. This example is from the Brother Web site. Other Web sites will look different.

Brother User's Guide

Note If the Web site for your printer manufacturer is not listed, just type the name of your printer manufacturer in any search engine to locate the manufacturer's Web site.

  • Brother (http://www.brother-usa.com/Accessories/)
  • Canon (http://www.usa.canon.com/consumer/controller?act=SiteMapAct&keycode=category&functionid=8)
  • Dell (http://accessories.us.dell.com/sna/category.aspx?c=us&category_id=4014&cs=19&l=en&s=dhs)

  • Konica Minolta (http://printer.konicaminolta.net/usa/index.asp)

After your new printer cartridge arrives, go to step 2.

Buying a printer cartridge from an online office supply retailer

You can also visit an online office supply retailer to order cartridges. Here are only three of the many that you can check:

  • Office Depot (http://www.officedepot.com/inkTonerManuf.do;jsessionid=00009PQzxAlYowqVieYmTvytnAV:10gg9eb56)
  • OfficeMax (http://www.officemax.com/omax/catalog/refill/inkFinder.jsp)
  • Staples (http://www.staples.com/webapp/wcs/stores/servlet/CategoryDisplay?&secondlevelCategoryId=10912&firstlevelCatName=Products&firstlevelCategoryId=12292&langId=-1&storeId=10001&prodCatType=1&catalogId=10051&categoryId=12328&secondlevelCatName=Technology )

Note If you prefer to use another office supply retailer online, just type the name of your preferred office supply retailer in any search engine to locate the office supply retailer's Web site.

After you receive your new printer cartridge, go to step 2.

Buying a printer cartridge from an office supply store

You can buy printer cartridges from many office supply stores. Just bring your old cartridge to the store and ask someone in the store for help.

After you buy your new printer cartridge, go to step 2.

Step 2Change your printer cartridge.
When you have your new printer cartridge, you must remove the old cartridge and install the new one. Because there are so many different printers on the market, the most reliable source for instructions for your printer is your printer documentation. If you no longer have this documentation, you can connect to your printer manufacturer's Web site again. Printer manufacturers usually have user guides available online for their printer models that describe how to replace printer cartridges.

After you have replaced your old printer cartridge, try printing with your new cartridge. If the print quality is what you expect, you have successfully changed your printer cartridge. Unfortunately, if you still have print quality issues, you will have to do a bit more troubleshooting. To do this, please see Next steps.

Next steps
If you cannot complete the steps to change a printer cartridge, or if you still have problems with the print quality, you can ask someone for help or contact support. To contact support for your printer, visit the printer manufacturer's Web site again and look for information about how to contact them. To view Microsoft support options, visit the following Microsoft Web site:

http://support.microsoft.com/contactus

If you are familiar with newsgroups, and you want to obtain help from other users, try the "Windows XP Printing and Fax" newsgroup:
