WD6X: Mail Merge Query Options Doesn't Sort in Descending Order

SYMPTOMS

When you use the Query Options feature to sort records in descending order, Word sorts the records in ascending order instead. (Query Options is available when you use the Mail Merge Helper [on the Tools menu] or the Database command [on the Insert menu]).

WORKAROUND

Sort the records in the data document before you do the merge. To do this, follow these steps:

  1. In the main document, click Mail Merge on the Tools menu.
  2. From the Mail Merge Helper in step 2, click Edit, and then click to select your data document.
  3. Click View Source.
  4. On the Table menu, click Sort.
  5. Click to select a field name and type, and then click Descending.
  6. Click OK.
  7. Save and close the data document to return to the main document.

STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article. This problem was corrected in Microsoft Word 98 Macintosh Edition.
