PPT98: Hyperlink to Non-PowerPoint Object Opens on Wrong Screen

If you are running PowerPoint 98 on a Macintosh that has more than one monitor attached to it, and if your presentation contains hyperlinks to non- PowerPoint files, those files may appear on a different monitor from the one on which your PowerPoint slide show appears.

For example, suppose you are running PowerPoint on a PowerBook 5300c with an external monitor attached to it. If you set your presentation to display on the external monitor, but it contains hyperlinks to a Web site (such as www.microsoft.com), when you click that hyperlink, Internet Explorer appears on your built-in display instead of the external monitor.

The same thing happens if your presentation contains hyperlinks to Word documents, Microsoft Excel spreadsheets, or any kind of non-PowerPoint document file.

When you follow a hyperlink to a non-PowerPoint file, the program that "owns" that document type starts. Because most programs save their window size and position, the program window appears on the screen it was on when you last closed that program.

These steps assume you want to open a Web site using Microsoft Internet Explorer during your presentation. The steps for opening any other type of linked document are very similar.

Before you start your presentation, follow these steps:

1. Start Microsoft Internet Explorer.
2. Drag the Internet Explorer window to the screen you will be using to show your slide show.
3. Close Internet Explorer.

Now, if you start PowerPoint and run your presentation, Internet Explorer will appear on the correct screen when you click on a hyperlink to a Web page.

To choose which screen a PowerPoint presentation will appear on, follow these steps:

1. On the Slide Show menu, click Set Up Show.
2. Click the Screen button at the bottom of the Set Up Show dialog box.
   
   NOTE: This button appears only if you have multiple monitors attached to your computer.
3. Click the icon that represents the screen you want to use during your slide show.
4. Click OK to return to the Set Up Show dialog box.
5. Click OK to return to your presentation.

To insert a hyperlink, follow these steps::

1. Click a drawing object or highlight some text.
2. On the Insert menu, click Hyperlink.
   
   If you have not yet saved your presentation, you are prompted to save it now.
3. Type the Internet address or the name of the file to which you want to link.
4. Click OK.
