This article helps you sync calendars to your Windows Phone from Outlook so you can access all of your meeting and appointments in the Calendar app.
If you're using Microsoft Office Outlook without Exchange
You won't be able to use a USB cable to sync calendars from a computer to your phone if you don't have Exchange. Instead, it's a two-part sync process that involves transferring your calendars to a Windows Live account, and then syncing your calendars from Windows Live onto your phone. Then, Windows Live uses your cellular data or Wi-Fi connection to continue syncing your calendars from Windows Live to your phone. This means your information is always current and backed up.
Sync your Outlook calendar to Windows Live, and then your phone
1. Check your mail server type
Note Outlook 2003 should use the instructions for Outlook 2007 to sync their calendar.
First, check whether or not you're using Outlook with Microsoft Exchange (if you already know, skip this step and go to Step 2: Add your account to your phone):
Note Calendars stored in Exchange will automatically sync to Windows Phone as soon as you add your account to your phone.
From the Start screen, flick left to the App list, and then tap Settings

Tap Email+accounts.
Tap Add an account, and then tap Outlook.
Enter your email address and password information, and then tap Sign in.
Your Outlook calendar should automatically sync to your phone. This may take some time.
Go back to the Start screen and flick left, then tap the Calendar app to see if your Outlook calendar appears. (You do not need to follow Step 3, Sync your calendar.)
3. Sync your calendar
This step will transfer your calendar from Outlook to Windows Live, where you will be able to sync it onto your phone. There are two methods for doing this: one will automatically keep your Outlook calendar synced with your phone, the other will import your calendar when you manually perform the process.
If you're using Outlook without Exchange, you can sync your Outlook-based calendar to Windows Phone by using one of the following methods:

Install the Outlook Hotmail Connector.
Depending on the version of Outlook you're running on your desktop computer, follow the directions listed here.
Copy your calendar to Windows Live
Once you have the Connector installed, follow the direction below according to the version of Outlook you're using:
Select Manually configure server settings or additional server types and click Next.

Select Other, choose Microsoft Outlook Hotmail Connector and click Next. Enter your name, and your Windows Live email address and password. Click OK to complete the setup.

Click Calendar. You should notice new Calendars have appeared for your email account.

Right-click your main Outlook calendar and then click Copy Calendar.

In the Copy Folder window, scroll to find your Windows Live email account.
Click on the email account to select and then click OK.

Click on the Windows Live account name to select it and then click OK.
Your Outlook calendar is now copied into Windows Live, but you should continue to use this calendar in Outlook. All changes or additions will then be synced to Windows Live and your Windows Phone.
Click Outlook Connector, then click Add a New Account. Enter the email and password for your Windows Live account and then click OK.

Close Outlook.
Open Outlook again on your computer.
Click Calendar. You should see a new Calendars section is added for your Windows Live account.

Right-click your main Outlook calendar and then select CopyCalendar.

In the Copy Folder window, scroll to find your email account.
Click on the Windows Live account name to select it and then click OK.

Your Outlook calendar is now copied into Windows Live, but you should continue to use this calendar in Outlook. All changes or additions will then be synced to Windows Live and to your Windows Phone.
Click Calendar. If more than one calendar is displayed, select your Outlook calendar.
Click File and select Save Calendar.

Click More Options. Use the dropdown arrow in the Date Range area to select a Date Range for the calendar information you want to export. Note Windows Live limits the upload file size for ICS files to 10 MB. If your ICS file is larger than this, you may get an error. If you get an error, try exporting your calendar again using a smaller date range.

Click in the Detail area and select how much information to export. For example, Availability only, Limited details, or Full details. Note If you select Full details you can choose to include items marked as private or include attachments under the Advanced section. Limited details will allow private items but not attachments.
Click OK to close the More Options window.
Select a location on your computer to save the file.
Under file name, type a file name, and then click Save.
Click Calendar. If more than one calendar is displayed, select your Outlook calendar.
Click File and select Save As.

Click More Options and then select a date range for the calendar information you want to export. Note Windows Live limits the upload file size for ICS files to 10 MB. If your ICS file is larger than this, you may get an error. If you get an error, try exporting your calendar again using a smaller date range.

and sign in to your Windows Live account. Note The first time you sign in, you may get a popup. Select your time zone and then click Go to your calendar.

Click Subscribe. On the Import or subscribe to a calendar page, select the option Import from an ICS file.

In the Choose the file area, click the Browse button and navigate to the ICS file you saved earlier.
Select the ICS file and click Import into an existing calendar.
Skip the Select which calendar section.
In the Prevent duplicates area, select one of the options.
Click Import calendar. Your calendar is now imported into Windows Live.
ImportantThis process is intended to move your Outlook calendar to Windows Live. Windows Phone syncs with the Windows Live service. What this means is that any subsequent changes that you make to your Outlook calendar won't be sent to Windows Live until you run this process again. Similarly, any changes on Windows Phone will update the Windows Live calendar and vice-versa, but those changes won't be reflected in the Outlook calendar on your computer until you perform this process again. To view and manage your Windows Live calendar in Outlook and automatically sync the calendar to your phone, install the Microsoft Office Outlook Hotmail Connector overview.
Note Windows Live limits the upload file size to 10 MB for ICS files. If your ICS file is larger than this, it won't upload and will display this error:
The file you're trying to import is too large. Please try importing a file that's less than 10 MB.
To work around this problem, change the date range and detail selection when you create the ICS file in Outlook (Save Your Calendar as an ICS file above). You may create several ICS files, each spanning different date ranges.
