The footer for outgoing email messages does not work in Forefront Online Protection for Exchange

SYMPTOMS

The footer that is configured for outgoing (also known as "outbound") email messages that are sent through Microsoft Forefront Online Protection for Exchange (FOPE) does not work. 

CAUSE

This issue occurs if the following conditions are true:
  • The footer is set to HTML only and the email message is sent in text format.
  • The footer is set to text only and the email message is sent in HTML format.

RESOLUTION

To resolve this issue, enable both the HTML and text format in the footer settings. To do this, follow these steps:
  1. Sign in to the FOPE Administration Center.
  2. Click Administration, click Domains, and then locate the domain.
  3. In the Policy Filter Settings section, click Edit.
    • In the Text Footer field, type a plain text version of the footer. This is the footer that is applied when a text email message is sent. It will not keep any formatting. Only the text is applied to the footer.
    • In the HTML Footer field, type the HTML-coded version of the footer. Or, type the same plain text version of the footer that you typed earlier.
    Note Both the Text Footer field and the HTML Footer field must contain a value, even if you want to use only one version of the text.
  4. Click Save.

Currently the footer is determined by the format of the message that is received from the sender.
  • If the message envelope specifies that the message is sent in the plain text format, the Text footer is applied.
  • If the message envelope specifies that the message is sent in the HTML format, the HTML footer is applied. 

Note You do not have to code the HTML footer by using HTML formatting. The HTML footer accepts plain text and by default, it can assume the <HTML> and </HTML> code tags.
