Order of folder synchronization for Outlook 2007 and for Outlook 2010

SUMMARY

Consider the following scenario. You configure Microsoft Office Outlook 2007 or Microsoft Outlook 2010 to use Cached Exchange Mode with a Microsoft Exchange Server email account. In this scenario, you experience the following behavior:
  • When you start Outlook or switch from offline mode to the connected state, folders are synchronized from the Exchange server in a specific order.
  • When Outlook is offline and you perform a Send/Receive task, the order varies from the order that is mentioned in the previous bullet point.

The order in which Outlook synchronizes folders when Cached Exchange Mode is configured varies, depending on whether you are working offline or are starting Outlook while you are connected to Microsoft Exchange.

Order when you start Outlook 2010 or switch from offline mode to the connected state


When you start Outlook 2010 or switch from offline mode to the connected state, folders are synchronized from the Exchange server in the following order:
  1. Security settings
  2. Calendar
  3. Selected folder (By default, this is the Inbox.)
  4. Contacts
  5. Drafts
  6. Inbox
  7. Tasks
  8. User-created folders (Outlook orders these by using an intelligent learning algorithm that identifies which of these folders are used more frequently.)
  9. Sent Items
  10. Deleted Items
  11. Junk mail
  12. Views
  13. Common Views
  14. Delegate content
  15. Public folder favorites
  16. Forms

After the initial synchronization is performed, Cached Exchange Mode synchronizes folders based on notifications that Exchange sends when folders are updated with new content.
