SYMPTOMS

When you perform a data merge in Word 2001 by using the Office Address Book as the data source, only certain Entourage fields are available.

The following are the fields that Word can access from the Office Address Book in Entourage, during a data merge:
First_Name
Last_Name
Suffix
Title
Full_Name
E_Mail
Address
Street
City
State_or_Province
Country
Zip_Code
Phone
Fax
Mobile_Phone
Job_Title
Company
Department
NOTE: The Phone field only returns the number that has been entered in the Work Phone Number field in Entourage.

WORKAROUND

To work around this behavior, export your contact data from Entourage to a tab-delimited text file. Then open the text file in Word or Excel to ensure that it is formatted as required for a data source document for a data merge.

All of the Entourage contact fields will be available in the Word 2001 data merge procedure.

MORE INFORMATION

Although you usually use a drag-and-drop procedure in Word 2001 instead of a drop-down menu for merge field insertion, when a large number of fields are available, you can use a drop-down menu to ensure that all of the fields are visible and manageable.
