Symptoms

Consider the following scenario:

  • You put a mailbox on litigation hold in a Microsoft Exchange Server 2010 environment that has Update Rollup 5 for Exchange Server 2010 Service Pack 2 or a later-version update rollup installed.

  • You press Shift+Delete to permanently delete more than 2,000 items, or you delete more than 2,000 items in the Deleted Items folder in Microsoft Outlook. This action moves deleted items to the "Recoverable Items\Deletions" folder.

    Note You can view the "Recoverable Items\Deletions" folder by using the Microsoft Foundation Classes MAPI (MFCMAPI) tool or by using the Recover Deleted Items tool in Outlook.

  • You apply a Messaging Records Management (MRM) 2.0 policy to the mailbox.

  • You try to manually enforce the retention policy, or the retention policy is automatically enforced when the retention age limit is reached.

In this scenario, the MRM 2.0 policy cannot be applied after 2,000 items are moved from the "Recoverable Items\Deletions" folder to the "Recoverable Items\ Purges" folder. Additionally, the following event is logged in the Application log:

Note This issue does not occur when the Deletions folder is empty.

Cause

This issue occurs because there is a 2,000 item limit when the Microsoft Exchange Mailbox Assistants service moves items from the Deletions folder to the Purges folder. However, the MoveToFolderLists list that counts the moving items is not cleared after you move the first 2,000 items. Therefore, an error occurs when the 2,001 item is added to the list.

Resolution

To resolve this issue, install the following update rollup:

Workaround

To work around this issue, manually run the Start-ManagedFolderAssistant cmdlet until the Deletions folder is empty.

Status

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.
