HOW TO: Configure Clip Gallery to Run from a Network Location in Clip Gallery 5.0

This step-by-step article describes how to configure Clip Gallery to run from a network location after Microsoft Office is already installed on users' computers.

Clip Gallery stores clip property information such as categories, keywords, and thumbnail previews in catalogs. Clip Gallery catalogs can be stored on a user's hard disk, on a removable disk, or on a network share.

The Artgal50.mmc file is the primary catalog in which Clip Gallery stores clip property information about the clip files that users import to Clip Gallery. By default, Artgal50.mmc is located in the Application Data\Microsoft\Media Catalog folder on each user's hard disk. To configure Clip Gallery to run from a network location, you create a network share in which to store the clip files and the Artgal50.mmc file, and then configure each user's computer to access the shared catalog.

How to Configure Clip Gallery to Run from a Network Location

To configure Clip Gallery to run from a network location, follow these steps.

Rename the Artgal50.mmc File

To rename the current Artgal50.mmc file, follow these steps:

1. Start Windows Explorer, and then browse to the Artgal50.mmc file. Artgal50.mmc is located in the following folder, where drive is the drive on which Microsoft Windows is installed:
   • In Microsoft Windows 98, Microsoft Windows 98 Second Edition, and Microsoft Windows Millennium Edition (Me):
     drive:\Windows\Application Data\Microsoft\Media Catalog
   • In Microsoft Windows Me and Windows 98 with user profiles turned on :
     drive:\Windows\Profiles\UserName\Application Data\Microsoft\Media Catalog
   • In Microsoft Windows NT 4.0:
     drive:\WINNT\Profiles\UserName\Application Data\Microsoft\Media Catalog
   • In Microsoft Windows 2000 and Microsoft Windows XP:
     drive:\Documents and Settings\UserName\Application Data\Microsoft\Media Catalog
     NOTE: By default, the Application Data folder is hidden in Windows. To view this folder, make sure that Windows is configured to display hidden files and folders.
     
     
2. Right-click Artgal50.mmc, and then click Rename. Type artgal50.old, and then press ENTER.

Create a Network Share

Create a shared folder on the network, and then copy the clip files that you want to include in the shared catalog to this folder.

Import Clip Files into Clip Gallery

To create a new Artgal50.mmc file, import the clip files that you copied to the network share folder. To do this, follow these steps:

1. Start Clip Gallery.
2. Create the new categories that you want for the shared catalog. To do this, follow these steps:
   1. Click New Category.
   2. In the Enter new category box, type a name for the new category, and then click OK.
3. Click Import Clips.
4. In the Look in box, browse to the folder that you created in the Create a Network Share section.
5. Under Clip import option, click Let Clip Gallery find this clip in its current folder or volume.
6. Select the clips that you want to import, and then click Import.
   
   The Clip Properties dialog box appears.
7. Type the clip properties that you want on the appropriate Description tab, Categories tab, and Keywords tab for each clip that you are importing. Click OK.
8. Quit Clip Gallery.

Move the New Artgal50.mmc File

Move the new Artgal50.mmc file that you created to the network share folder. To do this, follow these steps:

1. Start Windows Explorer, and then browse to the new Artgal50.mmc file.
   
   NOTE: To locate the new Artgal50.mmc file, see the Rename the Artgal50.mmc File section earlier in this article.
2. If you do not want users to add, remove, or make changes to the items in the catalog, configure the catalog with the read-only attribute. To do this, follow these steps:
   1. Right-click Artgal50.mmc, and then click Properties.
   2. Click to select the Read-only check box, and then click OK.
3. Right-click Artgal50.mmc, and then click Cut.
4. Browse to the network share folder that you created, and then click Paste on the Edit menu.

Import the Shared Catalog

To import the shared catalog, follow these steps on each computer on which you want to access the shared catalog.

1. Start Microsoft Windows Explorer, and browse to the Artgal50.mmc file.
   
   NOTE: To locate the new Artgal50.mmc file, see the Rename the Artgal50.mmc File section earlier in this article.
2. Right-click Artgal50.mmc, and then click Rename. Type artgal50.old, and then press ENTER.
3. Start Clip Gallery, and then click Import Clips.
4. In the Look in list, locate the shared folder that contains the Artgal50.mmc file and the clip files.
5. In the Files of type list, click Clip Gallery catalogs.
6. Click Artgal50.mmc, and then click Import.
7. Click OK when you receive the message to quit and restart Clip Gallery.
8. Quit Clip Gallery, and then restart Clip Gallery.
