You receive an error message when you print a large presentation in PowerPoint

SYMPTOMS

When you try to print a large Microsoft PowerPoint presentation, you may receive an error message that resembles the following error message:
Windows cannot print due to a problem with the current printer setup. Try one or more of the following:
  • Check the printer by printing a test page from Windows.
  • Make sure the printer is turned on and online.
  • Reinstall the printer driver.
Note None of the suggestions that are listed in the error message resolve the issue.

CAUSE

This issue may occur if the PowerPoint presentation contains pictures or other graphics that make the file size very large.

RESOLUTION

To resolve this issue, reduce the size of the pictures in the presentation. To do so, follow these steps, as appropriate for the version of PowerPoint that you are running.

Note You do not have to know in advance which picture is causing the issue.

Microsoft Office PowerPoint 2003

  1. Start PowerPoint, and then open the presentation that is causing the printing issue.
  2. On the Picture toolbar, click Compress Pictures.
  3. In the Compress Pictures dialog box, click All pictures in document under Apply to.
  4. Under Change resolution, click Print.
  5. Under Options, click to select both the Compress pictures and Delete cropped areas of pictures check boxes.
  6. Click OK, and then click Apply.

Microsoft Office PowerPoint 2007

  1. Start PowerPoint, and then open the presentation that is causing the printing issue.
  2. On the Format tab, click Compress Picture in the Adjust group.
  3. Click to select the Apply to selected pictures only check box.
  4. Click Options.
  5. Click to select the Automatically perform basic compression on save and Delete cropped areas of pictures check boxes.
  6. Click the Print (220 ppi): excellent quality on most printers and screens option.
  7. Click OK two times.
