INTRODUCTION

This article describes the Outlook 2003 and the Word 2003 issue that is fixed in the Outlook 2003 and Word 2003 post-Service Pack 1 hotfix package that is dated April 28, 2005.

Issue that the hotfix package fixes

This hotfix package fixes the following issue that was not previously documented in a Microsoft Knowledge Base article:
  • When you try to use Group Policy from the Microsoft Office 2003 Resource Kit to disable e-mail message signatures in Outlook 2003 and in Word 2003, the policy does not work as expected. Additionally, you experience the following symptoms:
    • Although the policy is listed in the user interface of the Outlk11.adm template, the policy is no longer recognized by Outlook 2003.
    • You can create and edit an individual e-mail signature even though Group Policy is set to disable e-mail message signatures in Outlook 2003 and in Word 2003.

Apply this hotfix only to systems that are experiencing this specific problem. This hotfix might receive additional testing. Therefore, if you are not severely affected by this problem, we recommend that you wait for the next software update that contains this hotfix.

Prerequisites

The following list contains prerequisites for the hotfix package:
  • The optimized version of this hotfix is a post-Microsoft Office 2003 Service Pack 1 (SP1) hotfix. To install the hotfix, you must have Office 2003 SP1 installed.

For more information about Office 2003 Service Pack 1, click the following article number to view the article in the Microsoft Knowledge Base:
842532 Description of Office 2003 Service Pack 1
  • The full-file version of this hotfix is also the administrative version of this hotfix. You can install this version of the hotfix on a computer that is running Office 2003 with Office 2003 SP1 installed or on a computer that is running Office 2003 without Office 2003 SP1 installed.

However, we have tested this hotfix more extensively on a computer that is running Office 2003 with Office 2003 SP1 installed than we have on a computer that is running Office 2003 without Office 2003 SP1 installed. If you install this hotfix on a computer that is running Office 2003 without Office 2003 SP1 installed, some file conflicts might occur. We support this configuration, but we do not recommend this configuration.

Additional notes:
  • For more information about how to install this hotfix, see the Readme.txt file that is included in the hotfix package.
  • For more information about the differences between the two .msp files, see the "Strategies for Updating Office 2003 Installations" topic. To see this topic, visit the following Microsoft Web site:
    http://office.microsoft.com/en-us/office-2003-resource-kit/strategies-for-updating-office-2003-installations-HA001152574.aspx
  • To install the hotfix that is mentioned in this article, you must install both the Outlook 2003 and Word 2003 .msp files. For example, to install the hotfix to a client computer, you must install both the Outlookop.msp and the Winwordop.msp files.
  • If either the Disable signatures for new messages policy or the Disable signatures for replies and forwards policy is set, the user interface for the signature options is disabled in Outlook 2003 and in Word 2003. This means that you cannot use the user interface to modify or to create new signatures. To locate the signature options in Outlook 2003, follow these steps:
    1. Start Outlook 2003.
    2. On the Tools menu, click Options.
    3. On the Mail Format tab, click Signatures.
To locate the signature options in Word 2003, follow these steps:
    1. Start Word 2003.
    2. On the Tools menu, click Options.
    3. On the General tab, click E-mail Options.
    4. Click the E-mail Signature tab.
  • The hotfix that is mentioned in this article does not remove the existing signature files that are on the computer. If you compose a new e-mail message in Outlook 2003, you can still select a signature from the existing signatures even if the Disable signatures for new messages policy or the Disable signatures for replies and forwards policy is applied. This behavior is by design because the policy is only intended to address new signatures and auto-signatures. To select existing signatures, follow these steps:
    1. Start Outlook 2003.
    2. On the File menu, point to New, and then click Mail Message.
    3. Compose the e-mail message, and then click an area in the e-mail message where you want to insert the signature.
    4. On the Insert menu, point to Signature, and then click the signature that you want to insert.
