An account that is no longer the parent account of a child account can unexpectedly view the child account records in Microsoft Dynamics CRM 4.0

Consider the following scenario. A user owns an account that is a parent account of a child account in Microsoft Dynamics CRM 4.0. Then, the parent/child relationship is broken. However, even though the account is no longer a parent account of the child account, the user can still view the records in the child account.

A supported hotfix is available from Microsoft. However, this hotfix is intended to correct only the problem that is described in this article. Apply this hotfix only to systems that are experiencing the problem described in this article. This hotfix might receive additional testing. Therefore, if you are not severely affected by this problem, we recommend that you wait for the next software update that contains this hotfix.

Installation information

Install this hotfix on computers that are running the Microsoft Dynamics CRM 4.0 server components or the Microsoft Dynamics CRM client for Microsoft Office Outlook components.

Prerequisites

You must have Microsoft Dynamics CRM 4.0 installed to apply this hotfix.

Restart requirement

If you are prompted to restart the computer, you must restart the computer after you apply this hotfix.

Removal information

To remove this hotfix from a computer that is running Windows Server 2003, Windows XP, or Windows 2000, use Add or Remove Programs in Control Panel.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.

Steps to reproduce this problem

Assume User A exists in child Business Unit 1, and User B exists in child Business Unit 2. Additionally, both users have all privileges to the Account entity and to the Activity entity. To reproduce this problem in this scenario, follow these steps:

1. Log on to the Microsoft Dynamics CRM 4.0 Web client as User A, and then create Account 1.
2. Log on to the Microsoft Dynamics CRM 4.0 Web client as User B, create Account 2, and then create some child records.
3. Log on to the Microsoft Dynamics CRM 4.0 Web client as an administrator, and then set Account 1 as a parent account of Account 2.
   
   NoteIf you log on to the Microsoft Dynamics CRM 4.0 Web client as User A, you can view all records in Account 1 and in Account 2 as expected.
4. In Account 2, clear the Parent Account field to remove Account A as the parent of Account B.
5. When you log on to the Microsoft Dynamics CRM 4.0 Web client as User A, you cannot view Account 2 as expected. However, you can still view the child records of Account 2.
