This article discusses methods of copying styles between two existing
documents or templates.
In Word 98 Macintosh Edition, you can use the organizer to copy styles
between documents or templates.
To copy a style from one document (the source) to another document
(the destination), follow these steps:
- Open the destination document.
- On the Format menu, click Styles.
- Click Organizer
- There are two style lists on the Styles tab. In most cases, styles are
displayed for the current document and the Normal template. If the
lists shown are not for the documents or templates that you want to
transfer styles between, follow these steps:
- Click Close File (to close the document that you don't want to copy
styles from).
- Click Open File and select or type the name of the file from which
you would like to copy styles. You can choose Word Document or
Document Template from the List Files Of Type box.
- Click OK.
- Select the styles you would like to copy and click the Copy button.
Click Yes or Yes To All if prompted to overwrite existing styles.
- When all desired styles have been copied, click Close.
NOTE: When Word copies the styles from the source document into the
destination document, the incoming style will replace a style with the same
name in the destination document.
Considerations Copying Individual Styles Between Documents
Paragraph marks in a document contain the paragraph level formatting
information for the paragraph including the Style information for that
paragraph, and can be used to transfer styles between documents. Copying a
paragraph mark to a new document will bring its style information with it.
NOTE: Copying a paragraph mark that has a style applied that has the same
name as a style in the destination document does not override the style in
the destination document. As a result, this technique does not work for
replacing custom or standard styles that have the same name in the
destination document.
To copy individual styles by copying a paragraph mark, follow these steps:
- If Paragraph Marks are off, click the Show/Hide button on the Standard
toolbar to display them.
- In the document containing the style, select the paragraph mark of a
paragraph that has the desired style applied to it.
- With the paragraph mark highlighted, click Copy on the Edit menu.
- Open the destination document.
- On the Edit menu, click Paste.
By pasting the paragraph mark formatted with the style, the style is added
to the destination document. The paragraph mark can then be removed. When
copying styles using the Clipboard, you can also copy text along with a
paragraph mark, and even copy a number of paragraph marks formatted with
different styles to copy several styles at once.
