The Publish to Web feature in Microsoft Word, Excel, and PowerPoint on the web allows editors in enterprise environments to quickly and securely share clean, finalized documents using a simple, web-based link. This link provides access to a view-only version of the document, excluding any internal edits, comments, version history, speaker notes and other information. This feature is only enabled for documents on SharePoint.

Why use Publish to Web?

Use Publish to Web so you can do the following easily and securely:

  • Share finalized document/presentation/excel files with external clients or stakeholders without revealing sensitive edit history.

  • Provide informational materials publicly, such as guidelines or company announcements, without exposing comments, tracked changes and other information.

  • Embed documents seamlessly on company websites or portals for easy public or internal access.

  • The published version of the file has view only permissions by default. The permissions can be further managed by going to Manage Permissions in the Share dialog.

Applicable to:

  • This feature is currently only available to enterprise users.

  • This feature can only be used in Microsoft Word, Excel, and PowerPoint on the web with documents on SharePoint.

How to Publish to Web:

  1. Open your Word, Excel, or PowerPoint file in web.

  2. Select File > Share > Publish to Web.

  3. Select Publish to confirm.

  4. After the document is published, copy the generated link and share it with the recipients or use the Share option to manage access permissions.

Managing your published documents

Republish

To reflect the latest changes, you'll need to republish the document:

  1. Navigate to File > Share > Publish to Web.

  2. Select Republish.

  3. You can refresh the published version that you have open in your tabs, and see the latest updates reflected, or you can choose to copy link from the Republish window and open it in a new tab.

Stop publishing

  1. Go to File > Share > Publish to Web.

  2. Select Unpublish.
