Use Microsoft 365 Copilot to quickly set up, update, turn off, or draft your automatic replies when you’re planning your out of office, without navigating through multiple settings.   

Set up or manage your automatic replies

Follow these steps to manage your automatic replies using Copilot:

  1. Open Microsoft 365 Copilot app (standalone app or inside Outlook).

  2. Type prompt such as “Set up automatic replies for tomorrow” in the Copilot chat.

  3. Review the draft message Copilot prepares based on your previous out-of-office style.

  4. Confirm the draft message to set your automatic reply.

  5. You can also try phrases like “Update my automatic reply” or “Turn off my automatic replies” to further manage your automatic replies. ​​​​​​​​​​

How Copilot personalizes your automatic reply

When drafting your automatic reply, Copilot uses:

  1. Your previous automatic reply style and tone

  2. The context you share in chat (date range, delegate, message details)

  3. The email details in context (if opened inside Outlook side-pane). For example: When there is a vacation approval email in context, Copilot automatically leverage the dates from the email content to draft the automatic reply.

This helps you create personalized and consistent messages quickly.

You can use this capability:

  • In Microsoft 365 Copilot app

  • In Outlook Copilot side pane and other Copilot side panes within Microsoft 365

  • Supported platforms - Web, Windows, Mac, iOS, Android​​​​​​​
