Prodiance ERM not tracking SharePoint file changes

Symptom

Prodiance Enterprise Risk Manager (ERM) is not tracking SharePoint files when they are modified.

Cause

Versioning in SharePoint is not enabled, or it is not set to require check out. ERM cannot detect file changes unless users check out/check in a file.  

Resolution

To resolve the issue, and have ERM track the files from SharePoint, versioning and check out required must be set. Perform the following steps based on the version of your SharePoint system.


SharePoint 2007

1. On the Settings menu in the SharePoint document library, click Document Library Settings.
2. Under General Settings, click Versioning settings.
3. To specify that only one type of version is tracked, under the Document Version History section, click Create major versions. To specify that both major and minor versions are tracked, click Create major and minor (draft) versions.
4. In the Require Check Out section, under Require documents to be checked out before they can be edited, click Yes.
5. Click OK.


SharePoint 2010

To enable versioning in SharePoint 2010, perform the following steps:
1. On the Library Tools menu for the document library, select the Library tab and click Library Settings.
2. Under General Settings, click Versioning settings.
3. To specify that only one type of version is tracked, under the Document Version History section, click Create major versions. To specify that both major and minor versions are tracked, click Create major and minor (draft) versions.
4. In the Require Check Out section, under Require documents to be checked out before they can be edited, click Yes.
5. Click OK.
