Steps to create a Variable Allocation Accounts report

Question:

How do I create a report that will show the variable allocation accounts with the associated distribution and breakdown accounts?


Answer:

1. Open Report Writer. To do this, click Tools, click Customize, click Report Writer, and then click Dynamics.


2. SelectTables from the drop-down Tables list.


3. In the Tables window, highlight GL_Allocation_Variable_MSTR, and then click Open.


4. In the Table Definition window, click Relationships.


5. Click New, click the ellipsis button to theright of the Secondary Table line.

Note The ellipsis button is the button with three periods.

Select the Account Master Copy A, and then click OK. For the Secondary Table Key, select GL_Account_MSTR_Key1. Then, match the appropriate fields. For example, match Primary Table: Secondary Table: Breakdown Account Index Account Index


6. Click OK.


7. Close the Table Relationships window by clicking the X in the upper right corner of that window.


8. Click OK.


9. Close the Tables window by clicking the X in the upper right corner of that window.


10. Click the Reports icon from the top menu bar.


11. Click New.


12. Name the report, "Variable Allocation."


13. To choose the Series, click Financial.


14. For the main table, click Variable Allocation Master.


15. In the format options section, click Text Report.


16. In the Report Definition window, click Tables.

17. In the Report Table Relationships window, highlight the Variable Allocation Master, and then click New.


18. Highlight the Account Master, and then click OK.


19. Highlight the Variable Allocation Master, and then click New.


20. Highlight the Account Index Master, and then click OK.


21. Highlight the Variable Allocation Master, and then click New.


22. Highlight the Breakdown Account Master, and then click OK.


23. Click Close.


24. In the Report Definition window, click Layout.


25. Choose the Tools option from the top menu bar, then select Report Section Options.


26. In the additional headers section, click New.


27. Name the report header, "Account."


28. Click the drop down list for report table, and then select the Variable Allocation Master.


29. In the fields section, highlight Account Index.


30. Click OK.


31. In the additional headers section, click the report header account to highlight it, and then click New. This action adds the next header below the account header.

32. Name the report header, "Distribution."


33. Click the drop down list for report table, and select Variable Allocation Master.


34. In the fields section, highlight Distribution Account Index.


35. Click OK two times in the Report Section Options window.


36. In the Toolbox, select Account Master from the drop down list.


37. In the scrolling window, find Account Number, and then drag it into the H1 section on the report. (This action generates printing of the Variable Allocation Account.)


38. In the Toolbox, select Account Index Master from the drop-down list.


39. In the scrolling window, find Account Number, and then drag it into the H2 section on the report. (This action generates printing of the Distribution Account.)


40. In the Toolbox, select BreakdownAccount Master from the drop-down list.


41. In the scrolling window, find Account Number , and then drag it into the "B" section on the report. (This action generates printing of the Breakdown Account.)


42. Click X from the top right corner of the Report Layout window.


43. Save your changes.


44. In the Report Definition window, click OK.


45. From the top menu bar, click File - Great Plains Dynamics.


46. Give users access to the modified report in the Security Setup window. To do this, click Setup, click System, and then click Security within Dynamics.Select the UserID, select the Company, then Dynamics as the Product. Select Custom Reports as the Type, and Financial as the Series.
