So let’s say you’re already working with some sort of project management software—Azure DevOps, Trello, Asana—and your org has just started using Teams. Maybe you’ve already got workflows and sets of processes in place and you want to keep them put, or your org requires a certain PM program. Either way, you want to set that PM software up to work with Teams. Teams is ready.
First, let’s back up a bit. Overall, Teams changes your relationship with email. It changes the way you do calls. It changes the way you do meetings. It changes the way you collaborate. And lastly, it will change the way you manage projects. Since Teams brings all these things into one centralized workspace, you’ll get less email, and spend less time switching between channels and programs.
In this article, we’ll show you one way to connect your PM software to Teams, using Trello as an example.
Tip: To see what project management software your org has made available in Teams, go to More apps on the left of Teams and select Project management.
Add your software to a tab
The process here is the same regardless of software. Follow these steps:
-
If you're creating a new channel, go to the team you want to create the channel for, then choose More options > Add channel, and fill out the fields.
-
Next, select in your chosen channel, search for your software, and select it. This creates a tab in the channel.
-
If you have more than one board, select the one you want to add to the channel and click Save.

Do more with Connectors
Important:
-
All new Office 365 Connector creation will be blocked starting August 15, 2024.
-
All existing Office 365 Connectors in all clouds will no longer be available as of October 1, 2024.
-
To learn more about the timing and how the Workflows app provides a more flexible and secure experience, see Retirement of Office 365 connectors within Microsoft Teams.
Connectors send updates and information from services like Trello directly to a channel. In this case, Trello will populate the Conversations so team members can see what's going on right inside Teams.
You can curate exactly what Trello actions from your software you'd like to see in your Teams channel. In the example at right, we've selected to get notifications every time something happens with a board or a card, but not for checklists.
To use Connectors with your chosen PM software, follow these steps:
-
Got to the channel and select the Conversation tab.
-
Choose More options > Connectors.
-
Search for Trello (or your chosen software) in the top left search bar.
-
Select Configure.
-
Select the Trello notifications you want to appear in the Conversations and then select Save.
Last, adjust your Trello email notification frequency
Depending on your settings, you could be getting dozens of email notifications an hour or no none at all. Now that you’ll now be able to monitor Trello activity in Teams, set your desired frequency.
-
In Trello, choose the bell icon in the top right corner.
-
Go to Change Email Notification Frequency.
-
Select your desired frequency.
-
Enjoy the silence.
