Use a screen reader to group or ungroup data in a PivotTable in Excel

This article is for people with visual or cognitive impairments who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use Excel with your keyboard and a screen reader to group or ungroup the data in a PivotTable. We have tested it with Narrator, NVDA, and JAWS, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Group data in a PivotTable to create and show a subset of the data. For example, if you have a long list of dates and times in your PivotTable (date and time fields in the PivotTable), you can group the fields into quarters and months.

Group data

  1. In your PivotTable, select the range of values you want to use for grouping.

  2. Press Shift+F10 or the Windows Menu key to open the context menu, and then press G. The values are grouped, and the group is added to the list of fields in the PivotTable Fields pane.

Name a group

  1. In the PivotTable, select the group you want to name or rename.

  2. Press Alt+J, T, and M. You hear: "Active field, exit table, Pivot field name."

  3. Type the field name, and then press Enter.

Ungroup data 

  1. In the PivotTable, select any item that is in the group you want to ungroup.

  2. Press Shift+F10 or the Windows Menu key to open the context menu.

  3. To ungroup, press U. The PivotTable is updated and shows the ungrouped data.
