Rapid Migration tool

Q1: Does the Rapid Migration tool support non-United States installations?

A1:

No. The Rapid Migration tool is currently limited to United States installations. This limitation is being reconsidered for future releases. The short date format in the Windows operating system requires the English (United States) installation. For example, mm/dd/yyyy or 12/31/2008.

Q2: Which versions and editions of QuickBooks are compatible with the Rapid Migration tool?

A2:

United States Intuit QuickBooks Pro (2003 - 2008), Premier (2003 - 2008), and Enterprise (3.0 - 8.0) are compatible.

Q3: Where can I find Rapid Migration tool documentation for specific information?

A3:

When you install the Rapid Migration tool, view the Migrator.chm file that is located in the Rapid Implementation installation folder.

Q4: What kind of data can be migrated by using the Rapid Migration tool?

A4:

The following kinds of data can be migrated by using the Rapid Migration tool.

Master records

Accounts including opening balances, customers, vendors, items, and employees.

Configuration data

Account classes, company information, customer type, payment terms, sales taxes, vendor type, fiscal year, and shipping methods.

Open transactions

Sales orders, purchase orders, journal entries, payables, receivables, and inventory, including inventory levels.

Note Open transactions include those transactions that are not yet fully paid or applied. Transactions that are fully paid or applied to another document are not migrated. Before you continue, download the Rapid Implementation tools Help documents for complete, detailed instructions about how to install and use these tools. To download the Rapid Implementation tools, visit the following Microsoft Web site:

Q5: Does the Rapid Migration tool require you to install Intuit QuickBooks?

A5:

Yes. The Rapid Migration tool must be installed on the same computer as QuickBooks and Microsoft SQL Server. You must keep QuickBooks open to migrate data. However, you must close all open QuickBooks windows. All QuickBooks companies must be closed except for the company from which you are migrating data.

Q6: Can the Rapid Migration tool be used to import migration data into an existing company that contains data?

A6:

No. We do not recommend that you import migration data into a company that has existing data. The existing data will be deleted.

Q7: Does the Rapid Migration tool require data access in QuickBooks before you migrate the data?

A7:

Yes. The Rapid Migration tool must have access to the QuickBooks data to migrate the data to a Microsoft Dynamics GP company. Use the following list for a detailed list of tasks to grant access to the QuickBooks data:
  • Before you grant access to your QuickBooks data, follow these steps:
    1. Start QuickBooks.
    2. Close all open QuickBooks windows.
    3. Close all QuickBooks companies except for the company from which you are migrating data.
  • Grant access to your QuickBooks data. To do this, follow these steps:
    1. Click Grant Access to open the QuickBooks – Application Certificate window.
    2. Click to select the Always allow access to the Rapid Migration tool even when QuickBooks is not running check box.
    3. Click to select the Allow access to personal data, such as credit card information and Social Security numbers check box.
    4. Click Continue in the QuickBooks – Application Certificate window.
    5. Click Done in the Access Confirmation window.
    6. Return to the Data Access window.
  • After you grant access to your QuickBooks data, follow these steps:
    1. Click to select the I have granted access to my QuickBooks data check box.
    2. Click Export.
If you have granted access to the Rapid Migration tool for the QuickBooks company during a previous migration, you do not have to click Grant Access. Instead, click to select the I have granted access to my QuickBooks data check box, and then click Export.

To verify that you granted access to the Rapid Migration tool, open the Preferences window in QuickBooks. To do this, on the Edit menu, click Preferences. In the Preferences window, click Integrated Applications in the list on the left side of the window, and then click the Company Preferences tab. If the Rapid Migration tool was granted access, it will be in the list of all applications that were given access to the company file.

Q8: Does the Rapid Migration tool allow modifications to the chart of accounts?

A8:

Yes. By using the Chart of Accounts Migration window, the Rapid Migration tool lets you map your QuickBooks account number and account classes to the account format in Microsoft Dynamics GP.

You can map up to three segments from QuickBooks, two segments from the account number, and one segment from the account class. You can divide the QuickBooks account number into two segments, and then decide the length of each segment. If you used classes in QuickBooks, you can map the account classes to a segment in the Microsoft Dynamics GP account format. You can decide to map the account class segment as the first segment or as the last segment.

If the length of the segment that you set up for Microsoft Dynamics GP is more than the corresponding segment in QuickBooks, zeros are added at the end of the segment. QuickBooks accounts can be divided into two segments by using the Chart of Accounts Migration window.

Q9: Does the Rapid Migration tool create the new company database that you are migrating data to?

A9:

No. The Rapid Migration tool requires the destination company database to already exist. Dynamics GP Utilities is required to create the new empty company. We recommend that you create a blank new company that contains no default setup information.

Q10: Is there way to reduce the time that is required to open .xlsx files from the Rapid Configuration tool or directly from Microsoft Office Excel?

A10:

The time that is required to open .xlsx files depends on your computer hardware and on the number of records in the .xlsx file. It may take a long time to open an .xlsx file that is created from Rapid Migration tool. This depends on data size and records, such as accounts that are migrated from QuickBooks.

Q11: The following error message may occur during the export process using Rapid Migration Tool:

A total of XX payment amounts have values less than or equal to zero. Refer to the Migration Troubleshooting topic in the Rapid Migration Tool help. The export of QuickBooks data has finished unsuccessfully.
How can this issue be resolved?

Note In this message, XX is a numeric value that represents the number of payments that have values less than or equal to zero. The error message is displayed if you click the View Log button in the Rapid Migration Tool or if you view the ExportSummary.log file.

A11:

For more information about this error message and resolution, click the following article number967803 to view the article967803 in the Microsoft Knowledge Base:
