FIX: Credit notes are transferred into the Intrastat report for Italy by using an incorrect sign and direction in Microsoft Dynamics AX 2012


This article applies to Microsoft Dynamics AX 2012 for the Italy (IT) region.

Symptoms

You use the Create credit note page to prepare a credit note for a customer when the customer returns items that were ordered and received. When you run the Intrastat report for Italy in Microsoft Dynamics AX 2012, an incorrect sign and direction are used to transfer credit notes into the report.

This article describes a country-specific update that is available for credit-note handling in the Intrastat report for Italy in Microsoft Dynamics AX 2012. After you apply this update, all sales transactions that include credit notes are included in the Intrastat report by using the Dispatches direction, and all purchase transactions are included in the Intrastat report by using the Arrivals direction. Additionally, the Transfer, Compress and Validate functions are updated to comply with this change.

Resolution

To resolve this problem, apply this update. After you apply this update, see the "More Information" section for information about how to include credit-note transactions in the Intrastat report for Italy.

How to set up credit-note handling in the Intrastat report

  1. Set up transaction codes. To do this, follow these steps:
    1. Open the Transaction codes form. To do this in Organization management, click Setup, click Foreign Trade, and then click Transaction codes.
    2. Press Ctrl+N to insert a new line and to create a special transaction code that must be used for credit-note handling in the Intrastate report.
    3. In the Transaction code field, type a code for the kind of transaction. For example, type 2.
    4. In the Name field, type a description of the transaction code. For example, type Restituzione o sostituzione di merci.
  2. Set up foreign trade parameters. To do this, follow these steps:
    1. Open the Foreign trade parameters form. To do this in Organization management, click Setup, click Foreign Trade, and then click Foreign trade parameters.
    2. In the Credit note field On the Intrastat tab, select a default transaction code for purchase and sales credit notes.

      Note Transactions that use this transaction code have the Correction field set to True in the Intrastat form when the transfer function is used.

How to post credit-note transactions for the Intrastat report

To post credit-note transactions that must be included into the Intrastat report, follow these steps:
  1. Post credit note transactions. To do this, follow these steps:
    1. Open the Sales orders list page. To do this in Accounts receivable, click Common, and then click Sales orders.
    2. Press Ctrl+N to create a new sales order for a customer whose region is one of the member states of the European Union (EU).
    3. Enter the details for an order line.
    4. Click the Foreign trade fast tab (Lines view).
    5. In the Transaction code field, select the transaction code for the Intrastat report.

      Notes
      • If the transaction corrects an original document in the previous period and must be reported as a correction in the Intrastat report, set the field value to 2. Be aware that the system automatically sets the field value to 2 when the document is created by using the Credit note function in the SELL action pane.
      • If the transaction corrects an original document in the current period and must be compressed before the transaction is reported to the authorities, use the same transaction code that is used in the original document.  
  2. Invoice the sales order.

Note This procedure applies for credit notes that are issued in sales orders, free text invoices, project invoices, purchase orders, and purchase invoices.

How to create the Intrastat report in the Intrastat form

  1. Transfer records to the Intrastat form. To do this, follow these steps:
    1. Open the Intrastat form. To do this in Organization management, click Periodic, click Foreign trade and then click Intrastat.
    2. Click Transfer IT to transfer the transactions to the Intrastat form.
    3. Select the document types that are to be transferred to the Intrastat form, and then click OK.


    Notes The Transfer function applies the following rules about credit notes. These rules also apply for goods and services.
    • Free text invoices, customer invoices, customer packing slips, and project invoices are always transferred to the Intrastat form by using the Dispatch direction. If the amount sign in the transaction is negative, the quantity and amount in the Intrastat form will also be negative.
    • Vendor packing slips and vendor invoices are always transferred to the Intrastat form by using the Arrival direction. If the amount sign in the transaction is negative, the quantity, weight, amount, charges amount, and amount in transaction currency in the Intrastat form will also be negative.
    • If the transaction has a transaction code assigned that is equal to the value that is set in the Credit note field in the foreign trade parameters, the Transfer function sets the Correction field value to True on the Intrastat form.
  2. Add correction-related information to the Intrastat form. To do this, follow these steps:
    1. Open the Intrastat form. To do this in Organization management, click Periodic, click Foreign trade, and then click Intrastat.
    2. Filter out the lines that have the Correction field set to True in the intrastat form. Be aware that you can change the field value manually if it is necessary.
    3. Manually update the fields in each line in which the Correction field is set to True.
  3. Compress the entries in the Intrastat form. To do this, follow these steps:
    1. Open the Intrastat form. To do this in Organization management, click Periodic, click Foreign trade, and then click Intrastat.
    2. Click Compress to compress the transactions to the Intrastat form.

      Note The Compress function applies the following rules about credit notes:
      • Transactions that have the Correction field set to True are never compressed.
      • The direction of the Intrastat transaction is never reversed based on the amount sign.
  4. Run the Validate function to verify the correctness of the data in the Intrastat form. To do this, follow these steps:
    1. Open the Intrastat form. To do this in Organization management, click Periodic, click Foreign trade, and then click Intrastat.
    2. Click Validate to validate the transactions on the Intrastat form.

      Note The Validate function applies the following rule about credit notes:
      If the item type of the Intrastat journal is Services and the amount is negative, the system marks the line as Invalid and displays the "Only positive amount is allowed for the Item type Services" warning message.
  5. Generate the output file, and then print the Intrastat report.

    Notes
    • No changes are applied for the output-file generation and report printout for Italy.
    • When the Intrastat form contains records in which the item type is Services and the amount is negative, the system displays a warning message that resembles the following:
      Positive value is expected in positions 118 to 130. Actual value is (negative value). Absolute value has been written to the file.
