This article describes how to share conversations, files, and notes in Yammer so that it's easier for groups or coworkers to collaborate.

How to share a conversation

You can share messages from a conversation with other groups and with coworkers. To share a conversation, follow these steps:
  1. Under the message, click Share.
  2. In the Share This Conversation window, select the coworkers or groups with whom you want to share the file, and then add a comment.
  3. Click Share.

How to post conversations to another group

To post a conversation to another group, follow these steps:
  1. In the Share This Conversation window, click Post in Group.
  2. To share the conversation with another group, enter the name of the group, and then add a comment.
  3. Click Share. A preview of the message is posted to other group's feed, together with a link to view the full conversation.

How to send a conversation through a private message

To send a conversation through a private message, follow these steps:
  1. In the Share This Conversation window, click Send via Private Message.
  2. To share the conversation with a coworker in a private message, type his or her name, and then add a comment.
  3. Click Share.
The share tracker tells you how many times the conversation is shared. Click the link to view the shares and what is said about the conversation. The private message is sent to your coworkers together with the following:
  • A preview of the message
  • A link to view the full conversation

How to share a file or note

To share a file or note, click Share on the upper-right side of the file or note. This opens the Share This Conversation window.

Note If you're working in a private group, you can't share files or notes. Therefore, the Share button is not available.

How to post a file or note in another group

To post a file or note in another group, follow these steps:
  1. In the Share This Conversation window, click Post in a Group.
  2. To share the file or note with another group, type the name of the group, and then add a comment.
  3. Click Share.

How to send a file or note through a private message

To send a file or note through a private message, follow these steps:
  1. In the Share This Conversation window, click Send via Private Message.
  2. To share the file or note with a coworker in a private message, type his or her name or email address, and then add a comment. 
  3. Click Share.
The private message is sent to your coworkers together with the following information:
  • A preview of the file or note
  • A link to go directly to the content
Note Files in a private group aren't available to share.

For sharing conversations

Q: How do I share a conversation?
A: You can share a conversation by clicking Share in the message and then sharing as a private message. For example, you can share with other Yammer network users or with another group.

Q: Who can I share a conversation with?
A: You can share a conversation with anyone in your Yammer network.

Q: Can I share a conversation with someone in an external network?
A: No. You can't share a conversation outside the network in which the conversation is located.

Q: Can I share a private message with another private message or group feed?
A: No. You can't share a private message. However, you can add more network members to your private message.

Q:How many times can I share a conversation?
A: There's no limit to the number of times that you can share a message.

Q: When I share, am I sharing a message, the whole conversation, or both?
A: When you share a conversation with a group, the specific message that you share will appear in the other group's feed, together with a link back to the original conversation. Although members of the group with which you're sharing will see the only specific message that you select to share, a link back to the conversation will accompany the message. 

Q: Will replies to shares occur in the original conversation?
A: No. A share in many ways functions like a forwarded email message in the way that it creates its own, new version of the message. When you share a conversation, the message that you share becomes a conversation starter in the group with which you're sharing. The only connection to the original message will be a link back to the original message. 

Q: What happens when I share a message from a private group with a public group?
A: Messages from private groups can be shared, but only members of the private group can view the full conversation. Nonmembers see only the specific message that's shared. 

Q: Can I share a conversation externally?
A: You can't share a message or conversation with anyone outside your organization.

Q: What is View Shares?
A: View Shares shows you a list of all the locations to which a message is shared. This is indicated by an icon next to the message. 

Q: In View Shares, can I see the names of private groups to which I don't belong if a message is shared with the groups? 
A: No. You can see only the names of the groups to which you belong or that are public and are listed under shared conversations.  

Q:How can I share a conversation with someone who isn't located on Yammer?
A: To share a conversation with someone who isn't located on Yammer, share the conversation through private message, and then type his or her email address. He or she will receive a Yammer invite email message that states that you shared a message with them.  

Note You can enter the email addresses only of people who use an official organization domain.

For sharing files and notes

Q: Can I share a file or note from a public group with a private group?
A: Yes. A file or note from a public group can be shared with a private group.

Q: What can I do if I want to share a file or note from a private group with other users?
A: You can send an email message together with a file or note from a private group to users by clicking Send via Email.

Q: Who can share a file or note?
A: If a file or note is located in a public group, anyone can share it with any group in the network.

Q: Can I share a file or note with more than one group at a time?
A: No, currently you can enter only one group’s name when you share with a group. You can return to the file to share it with another group. 

Q: What happens if a shared file or note is deleted?
A: If a file or note is deleted after it's shared, the link will be displayed as broken in the group feed to which the file or note is posted. The message attached to the shared file or note will remain.

Q: How do I share a file or note with someone who isn't using Yammer?
A: Sharing through private message gives you the option of typing a coworker's email address in the To field. The emailed recipient will receive a message that has a link to Yammer. The link enables them to sign up and view the shared file or note.
