Basic tasks using a screen reader with Calendar

This article is for people with visual or cognitive impairments who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use Calendar for Windows 10 with your keyboard and a screen reader to do the essential basic tasks. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll learn how to open and edit calendar events, join online meetings, and more.

Set up your calendar view

You can choose between four options to view the calendar: Day, Week, Month, or Year view. The default option is Month.

  1. Press F6 until with Narrator and JAWS you hear: "Go to, today, button." With NVDA, you hear: "Go to grouping, today button." 

  2. Press the Tab key until you hear the option you want, and then press Enter. If you don't hear the option you want, it is hidden inside the Show menu. Press the Tab key until you hear "Show, button, collapsed," and press Enter to open the menu. Then press the Down arrow key until you hear the menu option you want, and press Enter to select.

Open, read, and edit calendar events

To keep up with your busy schedule, you can quickly read and edit event details.

Note: You can only edit events that you've created. For example, you cannot edit meeting requests that you've received from someone else.

  1. In the main content area, press the Tab key or Shift+Tab until you hear the event you want to open.

  2. To review the event in more detail, press Enter. The event details pane opens.

  3. Press the Tab key or Shift+Tab to navigate the event details. If you own the event, you can use the keyboard to edit the content of event text fields as required.

  4. Press Ctrl+S to save your changes. If you are editing a meeting, saving it also sends an updated invitation to all invitees.

Join a Microsoft Teams meeting from Calendar

Note: To join a Microsoft Teams meeting as described below, make sure you have the Microsoft Teams app installed on your computer, the app is running, and you've signed in to Microsoft Teams with your work or school account. To join a meeting without the Microsoft Teams app and a work or school account, go to Join a meeting as a guest.

  1. Open the meeting event details in Calendar.

  2. Press Alt to move the focus to the ribbon. You hear “Ribbon" and then "Home tab.”

  3. Press the Down arrow key once to move the focus to the options on the ribbon, press the Right arrow key until you hear "Join online, button," and then press Enter.

  4. The Microsoft Teams meeting details window opens. With Narrator, you hear: "Empty document, camera checkbox unchecked." With JAWS and NVDA, you hear the meeting name, followed by "Microsoft Teams" and then "Choose your video and audio option." If a browser window opens instead and you hear “Join conversation,” press the Tab key until you hear “Open Teams, work or school, already have it,” and press Enter. The Microsoft Teams meeting details window opens. 

  5. Use the Tab key or Shift+Tab to browse the meeting details. If needed, change the video and audio options. Then press the Tab key until you hear “Join now,” and press Enter. The Microsoft Teams app opens and the focus is on the Mic button. You're now connected to the meeting.

    Tip: To move between the buttons in the meeting window—such as mute, unmute, and end call—press the Tab key until you hear the one you want. To select a button, press Enter. For more instructions, refer to Use a screen reader to join a meeting in Microsoft Teams.

Join a meeting as a guest

You can join a Microsoft Teams meeting as a guest, which means you don't need to sign in with a work or school account. You also do not need to have the Microsoft Teams app installed, but can use your browser to join the meeting.

  1. Open the meeting event details in Calendar.

  2. Press Alt to move the focus to the ribbon. You hear “Ribbon" and then "Home tab.”

  3. Press the Down arrow key once to move the focus to the options on the ribbon, press the Right arrow key until you hear "Join online, button," and then press Enter.

  4. A browser window opens and you hear "Join conversation." Press the Tab key until you hear “Continue on this browser,” and press Enter.

  5. If you hear a notification asking you to allow Microsoft Teams to use your microphone and camera, press the Tab key until you hear "Allow, button," and press Enter.

  6. The meeting details window opens and the focus is on the Join now button. Press Shift+Tab once to go the Name field, and enter your name as you want it to appear in the meeting.

  7. If you want to turn on or off your microphone or camera, press the Tab key until you hear the option you want, and press Enter to change the setting.

  8. Press Shift+Tab until you hear "Join the meeting, button," and press Enter. 

  9. If your meeting organizer has set up a lobby for guests, you hear: "We’ve let people in the meeting know you’re waiting." Wait until you're admitted from the lobby. When connected to the meeting, you hear with Narrator: "Call controls, meeting now." With JAWS, you hear "Meeting controls," followed by the meeting name. With NVDA, you hear "Connected," followed by a notification that you joined the call.

    Tip: To move between the buttons in the meeting window—such as mute, unmute, and end call—press the Tab key until you hear the one you want. To press a button, press Enter.

Print your calendar

Print a selected day, week, or calendar month in Calendar.

  1. In the main content area, press F6 until with Narrator and JAWS you hear: "Go to, today, button." With NVDA, you hear: "Go to grouping, today button."

  2. Press the Tab key until you hear "Show, button, collapsed," and press Enter.

  3. Press the Down arrow key until you hear "Print, button," and press Enter. The Print View dialog box opens.

  4. To choose the view of the calendar to be printed, press the Tab key until with Narrator you hear the currently selected calendar view, followed by "Combo box, read-only." With JAWS and NVDA, you hear "Combo box," followed by the selected calendar view. Then press the Up or Down arrow key until you hear the calendar view you want.

  5. To select the dates where the view starts, press the Tab key until you hear "From," followed by the default date, and then press Alt+Down arrow key to open the date picker. In the date picker, press the Tab key until you hear the current date, then use the arrow keys to move the focus to the date you want, and press Enter to select.

  6. To open the Calendar - Print window, press the Tab key until you hear "Preview," and press Enter.

  7. Press the Tab key to browse the printing options. When done, press the Tab key until you hear "Print, button," and then press Enter. The calendar is printed.
