In Microsoft Teams (free), you can easily create meetings with your contacts. You can create instant meetings when you want to start the meeting now, or you can create scheduled meetings to share with your contacts. Do you want to create a meeting, but don't have an account for Microsoft Teams (free)? Sign up now.

Note: In Microsoft Teams (free), you can create meetings of up to one hundred participants for up to 60 minutes. Learn more about Teams subscriptions.

  1. There are multiple ways to create an instant meeting:

    • From your Chat tab, tap Start an instant meeting Meet now button   at the top of the list.

    • Tap your profile picture, tap Calendar, then tap Start an instant meeting Meet now button   at the top of the screen.

  2. You can tap Edit Edit button   to change the name of the meeting.

  3. Tap Share meeting invite The Share button  to share your meeting link via SMS and more.

  4. Tap Copy meeting link Copy meeting link button  to copy the meeting invite link to your clipboard.

  5. Tap Start meeting to begin.

    • Your meeting is created, and your meeting link is displayed in the meeting chat. You can copy and share this link at any time.

  6. Set your audio and video options and tap Join now. You can Add participants or Share the meeting invite for people to join.
     

    Note: If you don't want to have users enter the meeting's lobby before they're able to join, disable it by tapping  Show participants buttonMeeting participantsMeeting options buttonMeeting options, and select Everyone for Who can bypass the lobby in the dropdown.

Note: In the Communities preview in Teams, to schedule a community meeting, create it in the community's calendar.

  1. Tap your profile picture, tap Calendar, then tap Schedule meeting  Add button at the bottom of the screen.

  2. Give your meeting a name in the Event name field.

  3. You can Add participants to your meeting by entering their name or email.

  4. You can set the meeting for All day, or you can fill out the start and end fields to schedule your meeting. You can also set the meeting to repeat or add details.

  5. Tap Submit  Teams OK button to schedule your meeting.

  6. Your meeting appears on your Calendar; tap the meeting, then tap Share meeting invite The Share button to share your meeting link via SMS, Skype, and more.

  7. Tap Join to start the meeting, set your audio and video options, and select Join now to enter the meeting as host.

    Note: If you don't want to have users enter the meeting's lobby before they're able to join, disable it by tapping Meeting participants  Show participants buttonMeeting options  Meeting options button, and select Everyone for Who can bypass the lobby in the dropdown.

Important: The options can vary based on screen size. If you do not see the button, you may need to tap More  More options button to bring up more call options.

  • Show participants button Meeting participants, where you can add members from your contacts.

  • Video off button Enable/disable your camera.

  • Tap More  More options button to bring up more call options:

    • Raise your handin the call or send a reaction.

    • Teams Chat Bubbles button Chat to display the meeting chat.

    • Show participants button People where you can view meeting participants or add people to the meeting.

    • Share button Share photos, videos, or your device screen.

    • Layout button View to show the current call layout.

    • Turn closed captions on or off Turn on live captions.

    • Teams community don't show chat bubble button Don't show chat bubbles.

    • Hold button Put yourself on hold.

    • Video off button Turn off incoming video.

When a Microsoft Teams (Free) user sends a calendar invitation, information pertaining to organizer’s email will be made available to the recipients.  These invitations may be sent via email or SMS, on behalf of the organizer. 

For users that sign in with their email based Microsoft account (based on Outlook, Hotmail, MSN, etc.):

  • Email recipients will be shown the organizer’s Microsoft account email address.  This email address will be shown to the organizer in the header when the calendar invitation is being prepared.

  • SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).

For users that sign in with a phone number-based Microsoft account, or sign in with an email based Microsoft account using non Microsoft email (for example, Gmail, Yahoo!):

  • Email recipients will be shown a system-generated email address created by Microsoft that is unique to the organizer.

  • SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).

Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes.

When a Microsoft Teams (free) user adds a calendar event to their personal calendar, information pertaining to recipient’s email is available to other attendees of the meeting.

For users that have accepted a calendar invitation and added it to their personal calendar and that sign in with:

  • An email-based Microsoft account (based on Outlook, Hotmail, MSN, etc.), their Microsoft account email address will be visible to other attendees/meeting participants.

  • An email-based Microsoft account using non-Microsoft email (for example, Gmail, Yahoo!) or a phone number-based Microsoft account, a system generated email address created by Microsoft that is unique to the user will be visible to other attendees/meeting participants.

Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes.

Users can login to Outlook.com to export their calendar invitations. Learn how to import and export Outlook email, contacts, and calendar.

A Teams for work or school account users will be able to join the meeting as a guest. In case Teams for work or school account users are signed in to Teams for personal or small business use, then they will join using their personal account. Teams for work or school user’s organization’s privacy policy and data handling terms do not apply to participation in Teams for personal and small business use meetings. Instead, the Microsoft Privacy Statement governs data handling for meetings you invite others to join.

    • Open Microsoft Teams (free). From your Chat tab, select Meet now  Video call button at the top of the list.

    • Open Microsoft Teams (free). Select the Calendar tab, select Meet now Video call button at the top of the screen, and then select Create a meeting.

      Tip: For Chat in Windows 11, select the Open Teams  Teams open Teams in Windows 11 button.

  2. Enter a name for the meeting.

  3. Select Get a link to share to generate a link that you can copy to your clipboard and share in any way you wish.
     

    Note: After you select Get a link to share, you can disable users entering the meeting's lobby before they're able to join, by clicking Configure Meeting options, then in your default browser select Who can bypass the lobby in the dropdown menu and click Save.

  4. Select Start meeting to begin. Your meeting is created, and your meeting link is displayed in the meeting chat.
     

    Note: You can select Copy Meeting link to generate a link to share, Share via Outlook Calendar, Share via Google Calendar, or Share via default email in Microsoft Teams (free) for Windows 11.

  5. Set your audio and video options, and then select Join nowLearn more about how to customize your background in the pre-join screen.

  1. Open Microsoft Teams (free).

    Tip: For Chat in Windows 11, select the Open Teams  Teams open Teams in Windows 11 button.

  2. From the Calendar tab, select New Meeting at the top of the screen.

  3. Give your meeting a name in the Add title field.

  4. Enter a name, email, or phone number to add participants to your meeting.

  5. You can fill out the start and end fields to schedule your meeting or set the meeting for All day. You can also set the meeting to repeat, add a location, or add details.

  6. Select Save to schedule your meeting.

  7. You can choose Copy link  Copy meeting link button to copy your meeting invite link and share in any way you wish. Your meeting will also appear on your Calendar; you can open the meeting at any time and select Copy link Copy meeting link button to copy your meeting invite link.

    • You can configure the meeting's privacy options by clicking Meeting options. A new tab should open in your default browser where you can set Who can bypass the lobby and Who can present options in the dropdown menu.

    • Turn closed captions on or off Turn on live captions.

    • Settings button Access your Device settings to check your Audio and Video devices.

    • Meeting options button Open the Meeting options to control who can bypass the lobby or present content.

    • Teams accessibility button Choose your Accessibility options.

    • The focus button Focus on content.

    • View a call in full screen View the call in Full screen.

    • Teams community don't show chat bubble button Don't show chat bubbles.

    • Video off button Turn off incoming video.

  • Video off button Enable/disable your Camera.

  • Microphone button Mute/unmuteyour Mic.

  • Share button Share your screen. When selecting which screen you want to share, you'll also have the option to Include computer sound.
