How to give access to private items for delegates in Outlook

This article describes how to allow a delegate to view items in the manager's mailbox that have been marked as Private.

All versions of Outlook allow a user (a manager) to designate another user as a delegate. With appropriate permissions, the delegate can use Outlook to open and view items in specified folders. However, items marked by the manager as Private are still not visible. This by design.

This has been changed in Outlook 2000. There is a Delegate can see my private items setting that allows the delegate to view items in the manager's mailbox that have been marked as Private.

To set this option, follow these steps:

  1. On the Tools menu, click Options, and on the Delegates tab, click Add.
  2. Select the delegate user from the Global Address Book.
  3. Click Add, and click OK.
  4. In Delegate Permissions, click to select the Delegate can see my private items check box.
  5. Assign other permissions to the delegate as needed, and then click OK.
  6. Click Apply, and then click OK.
