How to customize voice prompts or music files for dial-in audio conferencing in Microsoft Office Communications Server 2007 R2


Office Communications Server 2007 R2 does not support customization of voice prompts and music. For example, you cannot replace default media files that play while conference participants are on hold with your own recorded welcome message or with music that you select. Office Communications Server 2007 R2 Conferencing Attendant cannot control a customized audio file to make sure that the workflow for the conference participant logon functions correctly for dial-in audio conferencing. If you have a strong business need that requires you to change the default voice prompt or music file, you can follow the steps in this article to customize the media files.

If you customize the media files, the following issues may occur if the customization is not done correctly:
  • The Conferencing Attendant service or the Conferencing Announcement service might not run correctly.
  • The content of the customized voice prompt file might not match with the interactive voice response (IVR) workflow.
  • The audio quality of the customized prompt may differ from the existing prompt.
Microsoft will investigate these issues but will not fix any issues that result in code defects of the product caused by this kind of customization.

The Conferencing Attendant service includes media files for fourteen languages. If you replace or update a media file for a specific language, you may want to replace or update all other media files for that language so that the users have a consistent experience. For example, if you change the English version of the welcome message to state your organization’s name, you may want to change the files that provide other English messages that refer to your company's name to match the welcome message.

Media file requirements

If you decide to replace existing media files, the files that you replace them with must meet the following requirements:
  • Windows Media Audio (WMA) file format
  • 16-bit mono
  • 48 kbps 2-pass CBR (constant bit rate)
  • Speech level at -24DB

Spoken message media files

By default, the spoken message media files are located in the following folder:

%Programfiles%\Microsoft Office Communications Server 2007 R2\Application Host\Applications\Conferencing attendant\Media\Language
In this path, Language represents one of the fourteen languages that are supported by Office Communications Server 2007 R2.

Music media files

By default, the music media files that are used to play music to users who are on hold are located in the following folder:
%ProgramFiles%\Microsoft Office Communications Server 2007 R2\Application Host\Applications\Conferencing Attendant\Media\Music
Note The files in this folder play in a repeating loop.

Replace media files

To replace a media file, follow these steps:

  1. Open the folder that contains either the message files or the music files, and then locate the specific .wma file that you want to replace.
  2. Rename the old file by adding the prefix "Old_" to the file name.
  3. Copy the customized media file to the folder.
  4. Rename the media file so that it uses the same file name of the original file.
  5. Repeat these steps for each media file that you want replace with a customized version of that file.
