The Actual Overtime Work Protected fields show the amount of overtime work that has been calculated from the work reported by assigned resources via Microsoft Project Web App. The timephased versions of these fields show protected overtime work values distributed over time. As soon as a team member's actual work amounts are accepted by the project manager, the work and overtime work values are stored in the project file as read-only, or protected.

There are several categories of Actual Overtime Work Protected fields.

How Calculated    When you first create a task, the Actual Overtime Work Protected field contains "0 hrs." The team member enters actual overtime work amounts in the Project Web App timesheet. The team member sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are locked into the task's Actual Overtime Work Protected field and cannot be edited.

Best Uses    Add the Actual Overtime Work Protected field to any task sheet view to review or filter the uneditable actual overtime work hours on tasks that have been submitted by team members. This field can be especially useful for billing and accounting purposes for tasks.

Example    There are 10 hours of planned overtime for the "Develop electrical schematics" task. By reviewing the Actual Overtime Work Protected field, you see that the assigned resources have reported 6 hours of actual overtime on this task.

Remarks     The server administrator uses Project Web App to set whether your organization uses protected actuals.

Actuals cannot be protected if your team tracks progress by percent complete or actual and remaining work, or if you're not receiving your actuals from Project Web App.

Actual Overtime Work Protected (resource field)

How Calculated    The Actual Overtime Work Protected field for a resource contains "0 hrs" until the resource starts to submit hours worked on assignments. The resource enters actual overtime work amounts in the Project Web App timesheet. The team member sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are locked into the resource's Actual Overtime Work Protected field and cannot be edited. Project calculates actual overtime work protected for each resource as the sum of all actual overtime work protected values reported for all assigned tasks.

Best Uses    Add the Actual Overtime Work Protected field to any resource sheet view to review or filter the total uneditable actual overtime work hours for each resource. This field can be especially useful for billing and accounting purposes for resources.

Example    You've budgeted 20 hours of overtime for each resource. By reviewing the Actual Overtime Work Protected field on the Resource Sheet view, you can review how much overtime each resource has reported so far for all assigned tasks.

Actuals cannot be protected if your team tracks progress by percent complete or actual and remaining work, or if you're not receiving your actuals from Project Web App.

Actual Overtime Work Protected (assignment field)

How Calculated    The Actual Overtime Work Protected field for the assignment contains "0 hrs" until the assigned resource starts to submit hours worked for this assignment. The resource enters actual overtime work amounts in the Project Web App timesheet. The resource sends the project manager updates for each reporting period, and the project manager accepts the actual work and actual overtime work into the project. If overtime work is included in the update, those values are locked into the assignment's Actual Overtime Work Protected field and cannot be edited.

Best Uses    Add the Actual Overtime Work Protected field to the sheet portion of the Task Usage view to review or filter the uneditable actual overtime work hours submitted by resources for assignments on specific tasks. Add this field to the sheet portion of the Resource Usage view to review or filter the uneditable actual overtime work hours for assignments of specific resources. This field can be especially useful for billing and accounting purposes for assignments.

If overtime work is included in the update, those values are distributed over time in the task's timephased Actual Overtime Work Protected field and cannot be edited.

Best Uses    Add the Actual Overtime Work Protected field to the timephased portion of the Task Usage view to review the uneditable timephased actual overtime work hours on tasks that have been submitted by team members. This field can be especially useful for seeing the breakdown of task overtime by time period, such as days, weeks, or months.

Project calculates timephased actual overtime work protected for each resource as the sum of all actual overtime work protected values reported for all assigned tasks, distributed over a period of time.

If overtime work is included in the update, those values are distributed over time into the assignment's timephased Actual Overtime Work Protected field and cannot be edited.

Best Uses    Add the Actual Overtime Work Protected field to the timephased portion of the Task Usage or Resource Usage view to review the uneditable timephased actual overtime work hours on assignments as submitted by resources. This field can be especially useful for seeing the breakdown of assignment overtime by time period, such as days, weeks, or months.

Example    You have authorized 2 hours of overtime per day per assignment on the "Develop electrical schematics" task. By reviewing the Actual Overtime Work Protected field in the Task Usage view, you can see that Sean has reported 2 hours of overtime every day, and Chris has reported 1 hour each day.
