Use the Edit Lookup Table dialog box to create, review, or revise a lookup table that's associated with a custom field. The lookup table makes it possible for you and other users to choose from a list of preset values rather than typing them. The lookup table is also referred to as a "value list." In the Edit Lookup Table dialog box, you can:

  • Specify preset values for custom Cost, Date, Duration, Finish, Number, Outline Code, Start, and Text fields.

  • Set a default value for the custom field.

  • Establish the order in which values in the lookup table should appear.

  • Specify whether additional items can be added to the lookup table through data entry.

  • Create the code mask for an outline code.

Dialog box location

In Project 2016, 2013, and 2010: on the Project tab, click Custom Fields and then click Lookup.

In Project 2007: on the Tools menu, point to Customize, and then click Fields. Click Task, Resource, or Project. In the Type box, click the custom field type, and then click one of the custom fields in the Field box. Click the Lookup button. If you have the required permission to edit enterprise fields, the dialog box name is Edit Lookup Table. If not, the name is View Lookup Table.

Code mask section

This section is only available for outline codes.

Code preview    Displays a sample of the outline code as it would appear, using the sequence, length, and separator defined in the Code Mask Definition dialog box.

Edit Mask    Click this button to open the Code Mask Definition dialog box, in which you can set up the format and character sequence for the custom outline code.

Lookup table section

Toolbar buttons for all custom fields

Cut Row     Button image Removes the selected row and moves it to the Clipboard.

Copy Row     Button image Duplicates the selected row and moves it to the Clipboard.

Paste Row     Button image Inserts the row from the Clipboard above the selected row.

Insert Row     Insert Row button image Adds a blank row above the selected row.

Delete Row     Button image Removes and discards the selected row.

Move Up     Button image Moves the selected row one row up.

Move Down     Button image Moves the selected row one row down.

Toolbar buttons for outline codes

These toolbar buttons appear only for outline codes.

Outdent     Button image Moves an outline code to a higher outline level.

Indent     Button image Moves an outline code to a lower outline level.

Show Subcodes     Button image Expands a summary outline code to show its subordinates.

Hide Subcodes     Button image Collapses a summary outline code to hide its subordinates.

Show All Subcodes     Show All button image Opens all summary outline codes to show all subordinate values under all summary values.

Lookup table definition

Row     Indicates the row number in which the value is being entered.

Value     Enter each of the lookup table values you want in a separate row.

Description     Enter an optional description of each lookup table value you entered. This description appears next to the value in the lookup list for the field.

Display indenting in lookup table     Available only for outline codes. Select this check box if you want the various levels of the outline code to be distinguished by indenting in the lookup table. By default, this check box is selected.

Use a value from the table as the default entry for the field     Select this check box if you want one of the values from the lookup table to be entered automatically unless another entry is made. Select the check box, select the default value you want from the table, and then click the Set Default button. By default, this check box is cleared.

Display order for Lookup table section

By row number    Select this option if you want the values in the lookup table to appear in their row order. This is the default option. You can rearrange the rows using the Move Up and Move Down buttons.

Sort ascending    Select this option if you want the values in the lookup table to appear in ascending order, for example, from A to Z or from 0 through 9.

Sort descending    Select this option if you want the values in the lookup table to appear in descending order, for example, from Z to A or from 9 through 0.

Data entry options section

Allow additional items to be entered into the fields    Select this check box if you want to allow users to add data other than the values in the lookup table. If you allow this, those new values will become part of the lookup table.

Allow only codes that have no subordinate values    Available only for outline codes. Select this check box if you want to allow user entry of codes only if they are at the lowest outline level.

Import Lookup Table    

Click this button to open a dialog box that you can use to select the project or template and the custom field (including outline codes) within the project or template that contains the lookup table you want to import into the current custom field.
