Use a screen reader to create a calendar board in Outlook

This article is for people with visual or cognitive impairments who use a screen reader program such as Microsoft’s Narrator, JAWS, or NVDA with Microsoft 365 products. Use Outlook on the web with your keyboard and a screen reader to create a board in the Calendar view to manage your most important tasks and events. We have tested it with Narrator in Microsoft Edge and JAWS and NVDA in Chrome, but it might work with other screen readers and web browsers as long as they follow common accessibility standards and techniques. You'll learn how to create a board and organize everything in one place – your calendars, task lists, sticky notes, links, goals, and even reminders. Think of the board as a visual planner that you can design however you like by moving and adding items around it.

Notes:

  • This topic assumes that the Reading pane is off.

  • When you use Outlook on the web, we recommend that you use Microsoft Edge as your web browser. Because Outlook on the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not Outlook on the web.

  • We're currently updating Outlook.office.com (Outlook on the Web). Some people are already using the new Outlook, and for others the classic version will be the default experience until we complete the update. For more information, go to Get help with the new Outlook on the web. Since the instructions in this topic apply to the new experience, we recommend that you switch from the classic experience to the new Outlook. To switch to the new Outlook, press Ctrl+F6 until you hear "Command, Try the new Outlook," and then press Enter. If you hear "Command toolbar" instead of "Command, Try the new Outlook," you're already using the new Outlook.

  1. In Outlook on the web, press Ctrl+Shift+2 to open the calendar. You hear "Loaded," followed by the number of events in the selected calendar.

  2. In the Calendar main window, press Ctrl+F6 until you hear "Jump to calendar view options," and then press Enter. Then press the Right arrow key until you hear "Calendar view options, menu item, collapsed," and press Spacebar. The calendar view menu opens.

  3. Use the Down and Up arrow keys to browse the options until you hear "Board, submenu item," and then press Enter.

  4. Press the Down arrow key until you hear "New board," and then press Enter to select it. You hear: "Enter a name." Type the name for the board.

  5. Press the Tab key once. You hear "Create button," and then press Enter. The board is created and the focus returns to the Calendar main window.

  6. Customize your board by adding your favorite items. To add items, press the Tab key until you hear "Calendar view options." Then use the arrow keys until you hear "Add to board, menu item, collapsed," and press Enter. Now, do any of the following:

  • If you want to add multiple calendar items and see different calendars side by side, press the Down and Up arrow keys until you hear "Menu item, Calendar," and then press Enter to make a selection.

  • If you want to add your existing task lists from To Do to your board, press the Down and Up arrow keys until you hear "Menu item, task list," and then press Enter to select it.

  • If you want to keep track of different time zones to stay connected with your family, friends, and colleagues around the world, press the Down arrow key until you hear "Show all," and then press Enter. Press the Down and Up arrow keys until you hear "Menu item, clock," and then press Enter to make a selection.

  • If you want to learn how to get the most out of the board view, press the Down arrow key until you hear "Show all," and then press Enter. Press the Down and Up arrow keys until you hear "Menu item, tips," and then press Enter to make a selection.
