Tips for embracing a "care out loud" approach

The move from traditional written documentation to a verbal approach marks a major shift in your usual practices. To help you adapt, here are some practical tips for embracing a "care out loud" approach.

  • Complete all training: Ensure you complete all necessary training to become familiar with the Dragon Copilot solution before incorporating it into your daily workflow. Microsoft offers concise eLearning courses. Epic provides a comprehensive video demonstration that outlines the complete workflow of the Dragon Copilot solution and its integration with Epic functions.

  • Practice with a peer: Nursing staff can collaborate in pairs, assuming the roles of nurse and patient, to practice verbalizing observations using a "care out loud" approach.

  • Build usage gradually: Start small, using Dragon Copilot to record simple observations as a monologue. As your comfort level grows, expand your use of Dragon Copilot to include patient interactions.

  • Seek advice from Champions: Ask your manager who the Dragon Copilot Champions are at your organization. Dragon Copilot Champions, who are peers from your unit, are equipped to answer questions, troubleshoot issues, and share how they’ve successfully integrated Dragon Copilot into their daily workflow. Tap into their experience to discover practical strategies and consider applying their insights to enhance your own practice.

Best practices for Dragon Copilot in Rover 

Here are some recommended best practices to help ensure a larger portion of your documentation is captured directly through Dragon Copilot's ambient technology.

  • Consent: Patient consent must be obtained ahead of ambient usage. Follow your organization’s guidelines to obtain patient consent before using Dragon Copilot.

  • Communication: Inform the patient of your actions during the assessment. For example, say, “I’m going to check your pulses now.” This helps the patient understand your intent and aids the ambient technology in placing information into the appropriate flowsheet.

  • Microphone management: Position the microphone close to you and the patient. Ensure the recording environment is quiet and free from background noise, such as lowering the volume of the TV. ​​​​​​​​​​​​Do not place the mobile device on a PC or workstation on wheels (WOW) as computer fan hum can degrade the transcript quality and reduce documentation accuracy.

Note: We do not recommend using a headset or Bluetooth microphone, as the mobile device's microphone has been found to produce clearer and more reliable recordings.

  • Prepare for recording: Review the active templates and LDAs available for the patient at the start of recording.

  • Speak aloud: Record your assessments and observations aloud to allow Dragon Copilot to capture details and integrate them into the relevant flowsheets.

  • Be specific: Provide context during each assessment to ensure accurate documentation in the EHR, including details like laterality, body location, gender, and frequency.

  • Pause as needed: Pause the recording to review what’s been captured so far and identify any remaining information you want to add.

  • Record outside the patient room as needed: For sensitive information, document details in a brief recap away from the patient to ensure important information is captured.

    • For LDA documentation – While capturing specifics for LDAs (additions, removals, assessments) capture the information as a monologue either between the conversation or outside the patient room.

  • Ask one question at a time: Engage the patient by asking one question at a time, allowing them to respond fully before proceeding. If your organization is configured for Dragon Copilot's conversational support, the AI technology will process their responses and place the information into the appropriate flowsheet. If this feature is not available, make sure to repeat the patient's responses for clarity.

Tip: If a patient gives a complex answer, summarize it clinically. For example, if the patient says, “My pain is a 4, maybe 5… better than yesterday when it was 8,” you might respond, “Your pain is currently 4 on a scale of 0 to 10.”

  • Refer to transcript for clarification as needed: While the recording is paused, open the Transcript tab from the recording screen in Rover to review details. After stopping the recording, the transcript will be available in Rover and Hyperspace.

Here are some recommended best practices to consider when using the Dragon Copilot standalone web/desktop app.

Dock the standalone app next to your EHR

Position the Dragon Copilot web or desktop standalone app alongside your EHR to facilitate content transfer with minimal clicks.

  • If you are using Dragon Copilot in a web browser, use the browser's native window resizing capabilities.

  • If you are using the desktop app, select the narrow view button to streamline the creation of a side-by-side view.

Use one-click AI action buttons

Leverage the available AI action buttons to efficiently generate nursing-specific documents. With just a click, you can create the following content:

  • Summarize interaction

  • Create narrative note

  • Create provider notification

  • Create incident note

Note: Avoid typing prompts that replicate the functionality of these AI action buttons.

Efficiently copy content
