Frequently asked questions about Copilot in SharePoint
This FAQ includes frequently asked questions for SharePoint agents, for Copilot in SharePoint rich text editor, and for both.
For agents
Agents in SharePoint support you and your team with your workflows, projects, content discovery and knowledge sharing, based on the content in SharePoint sites, pages, and selected files. All SharePoint sites and document libraries come with a ready-made agent. With edit permissions to the site, you can create agents to get more specific answers tailored to your specific purpose.
You can access an agent from a SharePoint site, page, or document library. You can also use it in Teams if added. We plan to make it available across Microsoft 365, including Microsoft Copilot.
The user experience for creating and using agents is available on SharePoint Online Modern sites. However, when creating an agent from a Modern site, you can select any SharePoint site as a knowledge source.
Currently, only Copilot license holders can use SharePoint agents. Starting in January 2025, if you are assigned with a Microsoft 365 Copilot license, or your organization has the Pay-As-You-Go billing set up, you can use SharePoint agents.
Currently, you can include up to 20 source items as the knowledge source of an agent. These source items can be sites, document libraries, folders and files. If you have the need for more than 20 source items, you can nest the data at a higher level and source the agent to that level. For example, you can include any of the following:

When you use an agent, you have access to sites, pages and documents that are included in the agent’s sources and to which you already have permissions, as well as Microsoft Graph data on recent file interactions and profile information. If you don't have permission to specific content, even if this content is included in the agent’s sources, you will not see information from this content in your chat with the agent.

Note: Agents currently don’t use data from Lists. Also, you can’t add pages from the Site Pages library as source for an agent.

When you select a hub site as a knowledge source, the agent automatically includes the hub site’s associated sites as knowledge sources of the agent, so you will get responses based on information from both the hub site and its associated sites.
Agents in SharePoint allow site editors to quickly define an agent tailored to their specific team or projects directly within SharePoint. In comparison, creating an agent in Copilot Studio enables you to use content from SharePoint or OneDrive as sources, as well as other sources. We are working on integrating with Microsoft Copilot Studio to customize your agent with data sources beyond SharePoint.
You can find the agent you want to share from the agent list. Select on the ellipses and then copy the link to this agent. You can then share the link with others. Learn more here.
Note: You can't share the ready-made agent that comes with the site.
With edit permissions, you can delete any agents in SharePoint, except for the ready-made agent that comes with the site. To delete an agent, select it from the folder. Then select ellipsis (the three dots) >Delete.

No one except you can see your chat history.
Yes, from the chat pane, you can choose to delete chat history for a specific conversation, or you can delete all chat history.
In addition, you can delete all your Copilot interaction history. Navigate to myaccount.microsoft.com, then go to Settings & Privacy. Select the Privacy tab, and then Copilot activity history. There will be a button to clear your history. For details on this feature, go to Delete your Microsoft Copilot activity history. Copilot in SharePoint data will be removed along with Copilot data in other Microsoft 365 applications.
There are two ways in the agent experience to provide feedback. During the creation of an agent, you can select the Give Feedback button. Additionally, while interacting with an agent, you can choose thumbs up or down for individual responses generated by the agent. Both options submit text feedback to help our engineers better understand users’ experience.
For Copilot in SharePoint rich text editor
Copilot in Microsoft SharePoint rich text editor makes it easy to author content in SharePoint pages and posts. Copilot can help you rewrite text, change the tone, condense, and elaborate in the rich text editor. Copilot in SharePoint rich text editor is available as part of the Text webpart for any user with a Microsoft 365 Copilot license.
Copilot in SharePoint is bundled as a part of Microsoft 365 Copilot and is always on for licensed users. To learn more about enabling Copilot in your organization, visit Enable users for Microsoft 365 Copilot.
No. Copilot in SharePoint's rich text editor does not have access to your documents or Microsoft Graph data, such as emails, chats, and calendars. When you rewrite with Copilot in SharePoint rich text editor, only the text in the editor is considered.
No. Copilot in SharePoint rich text editor does not save your previously edited texts.
No. But you can chat with Copilot in SharePoint by selecting the Copilot button on the upper right of a SharePoint site, page or document library.
SharePoint rich text editor has a high word limit (around 30,000 words in English), but Copilot currently has a lower word processing limit. Although this limit is increasing, we recommend keeping the total word count in each rich text editor to less than 3,000 words.
