By designing different views of your form template, you can offer users different ways to look at data. For example, you might create a special view that is optimized for printing, or you might create a high-level summary view to eliminate some of the details in a complex form template. In Microsoft Office InfoPath, you use the Views task pane to add or delete views for a form template.

What do you want to do?

Add a view

Use the following procedure to add additional views to a form template.

  1. On the View menu, click Manage Views.

  2. In the Views task pane, under Actions, do one of the following:

    • To add a new view to your form template, click Add a New View.

    • To create and associate a print view with the currently selected view, click Create Print Version for This View.

  3. In the dialog box that appears, type a name for the view, and then click OK.

  4. To open the View Properties dialog box, in the Views task pane, double-click the name of the view in the Select a view list.

  5. In the View Properties dialog box, change or specify settings or options for the view, and then click OK.

  6. In the workspace, design the view by adding layout tables and controls to it.

Tip: If you want to base the design of a new view on an existing view, open the existing view, press CTRL+A to select everything in the view, and then press CTRL+C to copy the selection to the Clipboard. In the Views task pane, switch to the new view, and then press CTRL+V to paste the selection in the new view. At this point, you can delete any controls or layout elements that you don't need from the new view.

Delete a view

You cannot recover or restore a view after you delete it. If you delete the default view in a form template that has only one view, InfoPath creates a new default view automatically. If you delete the default view in a form template that has multiple views, InfoPath will assign default view status to the next view in the list of views in the Views task pane.

  1. On the View menu, click Manage Views.

  2. In the Views task pane, point to the name of the view that you want to delete, click the arrow that appears next to the name, and then click Delete.

Note: You cannot delete Microsoft Office Word-based print views by using the Views task pane. To delete print views for Word, on the View menu, click Word Print Views, and then select the options that you want.

Change the default view

Each form template has a default view, named "View 1." Users see this view when they open a form that is based on your form template. If you create custom views for a form template, you can choose which of the available views will be the default view for your users.

  1. On the View menu, click Manage Views.

  2. In the Views task pane, point to the name of the view that you want to designate as the default view, click the arrow that appears next to the name, and then click Set as Default.

Note: If only one view is listed in the Select a view list, it is automatically designated as the default view.

Rename a view

  1. On the View menu, click Manage Views.

  2. In the Views task pane, click the view that you want to rename, and then click View Properties.

  3. Click the General tab.

  4. In the View name box, type a new name for the view.

    Notes:

    • If you rename a view that is associated with custom code, the code may not work as expected. To fix this problem, you must find references to the view in the code and update them with the new name of the view.

    • You cannot rename print views for Microsoft Office Word. However, you can use the Add Print View for Word Wizard to create the same view with a different name.
