This article describes the process that Outlook uses to find the appropriate free/busy location when attempting to retrieve a user's iCal free/busy information.

An Outlook user may have free/busy information in various locations. Outlook finds free/busy information based on a matching address book entry's setting. Outlook first searches the location specified in a matching Global Address List (GAL) entry, then in a matching Contact's specified Internet Free/Busy "Address" field, and lastly, at the location in "Publish at this URL" in the Free/Busy Options.

To Set the Free/Busy Options for a Contact:
  1. Open the Contact.
  2. Click the Details tab.
  3. Type the server location where the free/busy information is stored in the Internet Free-Busy Address box.
  4. Click Save and Close.
To Set the Free/Busy Options Globally:
  1. On the Tools menu, click Options.
  2. On the Preferences tab, click Calendar Options.
  3. Click Free/Busy Options.
  4. Click to select Publish my free/busy information.
  5. In Search at this URL box, type the name of the server where the free/busy information is stored.
  6. Click OK three times to close the Options.
