SharePoint is a web-based collaboration and document management platform that allows you to store, organize, and share files with your team. You can create document libraries, lists, and web pages that are accessible to your team from any device.

Teams is a chat-based collaboration platform that allows you to have conversations, share files, and collaborate on projects with your team in real-time. It integrates with other Microsoft tools, such as SharePoint and OneNote, so you can access all your files and notes in one place.

These three entities work together to provide a seamless collaboration experience for your team. Groups can be used to create teams and coordinate tasks, while SharePoint can be used to store and organize files related to the team's work. Teams can be used to have chat-based conversations, share files, and work on projects together in real-time.

How do these services work together?

Groups, SharePoint, and Teams work together seamlessly to provide a powerful suite of collaboration tools that can help your team work more efficiently. Here are some of the ways these services work together:

Groups and SharePoint

Groups and SharePoint are tightly integrated, and you can use them together to collaborate more effectively with your team. When you create a Group, SharePoint automatically creates a corresponding SharePoint site that's linked to the Group. This site can be used to store and manage files related to the Group's work.

You can add SharePoint document libraries, lists, and pages to the Group's SharePoint site, which will make them accessible to all members of the Group. You can also use SharePoint permissions to control who can view, edit, and delete files, and you can use version control to keep track of changes to files over time.

SharePoint also integrates with Microsoft Teams, allowing you to access your SharePoint site directly from within Teams. This means that you can share files from SharePoint directly in Teams, and you can collaborate on files with your team in real-time.

Teams and Groups 

Microsoft Teams is designed to work closely with Groups, which means that you can use Teams to collaborate with the members of a Group.

When you create a new Team, you have the option to create a corresponding Group. This will allow you to have chat-based conversations with your team members, share files and collaborate on them in real-time. Teams also integrates with other Microsoft tools, such as OneNote and SharePoint, so you can access all your files and notes in one place.

When you create a new Channel in Teams, it creates a new folder in the corresponding Group's SharePoint site. This means that all the files and conversations related to that Channel will be stored in that folder, making it easy to organize and manage your work

When you create a new Channel in Teams, it creates a new folder in the corresponding SharePoint site. This means that all the files and conversations related to that Channel will be stored in that folder, making it easy to organize and manage your work.

Stay secure while collaborating in Groups, SharePoint, and Teams

To ensure secure collaboration while using Groups, SharePoint, and Teams

  • Set-up multi-factor authentication (MFA) which adds an extra layer of security.

  • Define clear permissions for users to ensure that sensitive data is only accessible to authorized users.

To restrict and monitor external access and guest access, you can use various controls. These include enabling external sharing at different levels, using conditional access policies to restrict access, using Azure Active Directory access reviews to regularly review external user access, configuring audit logging to monitor external user activity, and enabling sensitivity labels to classify sensitive content.

By utilizing these controls, customers can ensure that external users only have appropriate access to SharePoint sites and documents, and that any suspicious behavior is detected and addressed promptly.
