For classic Outlook, in Mail view, on the Home tab, open the Quick Steps gallery and select Manage Quick Steps.

In the Quick Step box, select the quick step that you want to change, then select Edit.

Under Actions, change or add the actions that you want this quick step to do.Â

If you want, in the Shortcut key box, select a keyboard shortcut that you want to assign to that quick step.

If you want to change the icon for a quick step, select the icon next to the Name box, select an icon, and then select OK.

When you're done, select Save.Â
Tip: You can also reorder the list of quick steps by using the arrow buttons below the Quick Steps box. You can delete a quick step that you no longer need. And you can get a fast start on creating a new quick step by using Duplicate to start from a copy of an existing quick step.Â

For new Outlook​​​​​​​, in
 Mail view, on the View tab, select  View settings. -
Select Mail > Quick Steps.

In the list of existing quick steps, select  Edit on the quick step you want to change.Â

 Change the name of the quick step, if necessary, then, under Choose an action, revise the existing actions as needed.Â

You can use to remove an existing action or  Add another action to add one.

When you're done, select Save.Â
