Quick Steps apply multiple actions at the same time to email messages. This helps you quickly manage your mailbox. For example, if you frequently move messages to a specific folder, you can use a Quick Step to move the message in one click. Or, if you want to pin an email and mark it as unread, a Quick Step can simplify the task in one click.

Note: Some Quick Steps, like Permanently Delete and Ignore, cannot be undone using a menu command or with a keyboard shortcut like Ctrl+Z.

How to create a Quick Step?

To create a Quick Step,

  1. In Mail, select Home. In the menu bar on top, select the drop-down menu next to Quick steps and select Manage quick steps.Quick steps menu bar

  2. In the Settings window, under Quick steps, select the New quick step button.

  3. In the Name box, type a name for the new Quick Step.Settings for Quick Steps

  4. Under Choose an action, select the action that you want the Quick Step to do. Select Add another action for any additional actions.

  5. To see a custom description of the Quick Step when your cursor is over the Quick Step in the menu bar of the Home tab, in the Optional section, type the required description in the Customize your quick step description box.  Quick Step description

  6. To create an optional keyboard shortcut, in the Choose a shortcut box, select the keyboard shortcut that you want to assign. Ctrl+Shift 5-9 are the available options.

How to change an existing Quick Step?

To configure or change existing Quick Steps:

  1. In Mail, select Home. Select the drop-down menu next to Quick steps and select Manage Quick Steps.

  2. Find the Quick Step you’d like to change and select the pencil icon to edit.Edit quick Step

  3. Under Choose an Action, change or add the actions that you want this Quick Step to do.

  4. To change the Quick Step name, update the Quick Step name in the top box.

  5. If you want, in the Choose a Shortcut box, select a keyboard shortcut that you want to assign to that Quick Step.

  6. To update the description, update the text displayed under the Optional section.

    Note: New Quick Steps appear at the top of the gallery on the Home tab in the Quick steps group.

    To rearrange the order in which the Quick steps are displayed in the Home tab, go to Manage quick steps and select the up or down arrows of the Quick step you’d like to move. 

    For example, consider the Quick Steps arranged in the following order in Settings:Quick step order
