You can set the month on which the fiscal year starts if it differs from January, or the start of the Gregorian calendar.

Set when the fiscal year starts

  1. Choose File > Options, and then select Schedule.

In the Fiscal year starts in box, select the month with which you want the fiscal year to start.

  2. If you want to label the fiscal year by using the calendar year in which that fiscal year begins (rather than the calendar year in which it ends), select the Use starting year for FY numbering check box.

Change the timescale to reflect the new fiscal-year setting

You can change how the timescale of a sheet view (such as the Gantt Chart view, Task Usage view, or Resource Usage view) displays the new fiscal-year settings. Keep in mind it is the fiscal-year setting that controls how time is displayed on the timescale, but that it doesn't change the way that task dates and assignment dates appear in a view.

  1. On the View tab, in the Zoom group, choose Timescale at the bottom of the Timescale menu.

  2. On the tab for each timescale tier in which you want to use your new fiscal-year setting (the Top Tier, Middle Tier, or Bottom Tier tab or any combination), select the Use fiscal year check box.

  3. On the tabs for the timescales that you want to display, do the following:

    • In the Units boxes, select the timescale units that you want to use.

    • In the Label boxes, select the labels that you want to use.

Note: Settings can be changed only in the timescale of the current view. To update the timescale in another view, choose that view, and then repeat these steps.

Using Microsoft Project Web App, you can easily define the fiscal periods for a specific year. By creating the fiscal periods in bulk, you can base them off several different models, and Project will calculate the dates accordingly.

For example, if your organization divides each quarter into three periods—one that is four weeks long, followed by one that is five weeks long, and then another that is four weeks long—you can specify this model in Project Web App, and Proejct will create fiscal periods for the year according to that schedule. So, if the fiscal year begins on January 1, 2019, the first quarter will have three periods:

  • Period 1: 1/1/2019 – 1/28/2019

  • Period 2: 1/29/2019 – 3/4/2019

  • Period 3: 3/5/2019 – 4/1/2019

To set fiscal periods in Project Web App:

  1. On the Quick Launch, in the Settings section, choose Server Settings.

  2. On the Server Settings page, in the Time and Task Management section, choose Fiscal Periods.

  3. In the Manage Fiscal Period section, select the year that you want to define as the fiscal period, and then choose Define.

  4. In the Define Fiscal Period Start Date section, type the date on which the fiscal year should begin, or select it by using the date picker.

  5. In the Set Fiscal Year Creation Model section, select a formatting method for the fiscal period:

    • 4,5,4 Method    Sets a four-week fiscal period, followed by a five-week fiscal period, and then another four-week fiscal period.

    • 4,4,5 Method    Sets a four-week fiscal period, followed by another four-week fiscal period, and then a five-week fiscal period.

    • 5,4,4 Method    Sets a five-week fiscal period, followed by a four-week fiscal period, and then another four-week fiscal period.

    • 13 months    Sets each fiscal period as four weeks.

    • Standard calendar year    Sets each fiscal period according to the standard 12-month year, beginning on January 1.

Note: If you want to use a different model for your organization’s fiscal year, follow the steps in this procedure to choose a model that is closest to what you want your fiscal year to be like. Once you have saved, you can go back and modify the calendar dates to refine the schedule to meet your organization’s needs.

  6. In the Define Period Naming Convention section, create a unique name for the periods by entering:

    • Prefix    A prefix of up to 15 characters.

    • Next Sequence Number    A sequence number of up to six digits.

    • Suffix    A suffix of up to 15 characters.

Tip: As you enter a naming convention in the Prefix, Next Sequence Number, and Suffix fields, an example of the final naming convention is displayed under the fields, next to Sample.

  7. Choose Create and Save.

On the Fiscal Periods page, the fiscal period is displayed with the individual periods showing in the Adjust Fiscal Months grid.

After defining a fiscal period, you can edit it by using the Adjust Fiscal Months grid.

To refine the fiscal period dates:

  1. On the Quick Launch, in the Settings section, choose Server Settings.

  2. On the Server Settings page, under Time and Task Management, choose Fiscal Periods.

  3. In the Manage Fiscal Period section, select the year that you want to adjust.

  4. In the Adjust Fiscal Months section, in the End Date column, select the end date that you want to modify, and then use the date picker to select a new end date. Start and end dates for periods following the modified end date are automatically adjusted so that all periods are contiguous.

  5. Choose Save.
