How to add the Payables Transaction Note to the Detailed Trial Balance

This article describes how to add the Payables Transaction Note to the Detailed Trial Balance.

MORE INFORMATION

You may either add the notes from the transactions in history or open status in Payables, but not both. Once you have decided which would be more important, follow the appropriate steps as follow:

Note The following steps are for the Detailed Trial Balance report in General Ledger. Assumptions for this report are as follows: The report is to be printed for an open year in General Ledger. Also, the Trial Balance Report option is set to Subtotal By: No Subtotals.

To add the note for the open transactions:
Go into Report Writer (Tools-Customize-Report Writer).
Choose the Tables icon from the top menu bar. In the Tables window, highlight the GL_YTD_TRX_Open and choose the Open button. In the Table Definition window choose the Relationships button. Then choose the New button.
Click on the Ellipsis button. (The button with three periods.)
Select the PM Transaction Open file and click OK.
For the Secondary Table Key select: Key 7
Match the appropriate fields:
Primary Table: Secondary Table:
Originating Document Number Document Number
Choose OK. Close the Table Relationship window by clicking on the X in the upper right corner of the window.
Click OK.

You should now be back in the Tables window. This time choose the PM_Transaction_Open and choose the Open button.
In the Table Definition window, choose the Relationships button.
Then choose the New button.
Click on the Ellipsis button.
Select the Record Notes Master and click OK.
For the Secondary Table Key select: Key 1
Match the appropriate fields:
Primary Table: Secondary Table:
Note Index Note Index
Choose OK. Close the Table Relationship window by clicking on the X in the upper right corner of the window. Click OK.
Close the Tables window by clicking on the X in the upper right corner of the window.

Click on the Reports icon from the top menu bar.
From the Original Reports side, highlight the Trial Balance Detail and choose Insert.
Then, on the Modified Reports side, highlight the same report and choose the Open button.
In the Report Definition window choose the Tables button.
Tables:
In the Report Table Relationships window, highlight the Year-To-Date Transaction Open and choose the New button.
Highlight the PM Transaction Open and choose the OK button.

In the Report Table Relationships window, highlight the PM Transaction Open and choose the New button.
Highlight the Record Notes Master and choose the OK button.
Select the Close button.

Restrictions:
In the Report Restrictions window choose New
Name the restriction: Pm Trx Open
In the fields section:
Click on the drop down list for Report Table and choose the PM Transaction Open File.
Click on the drop down list for Table Fields and choose 1099 Amount.
Choose the Add Field button.

In the operators section:
Choose the = button.

In the fields section:
Click on the drop down list for Report Table and choose the PM Transaction Open File.
Click on the drop down list for Table Fields and choose 1099 Amount.
Choose the Add Field button.
The Restriction Expression should read: PM_Transaction_Open.1099 Amount=PM_Transaction_Open.1099 Amount

Layout:
Choose the Layout button.
Bringing fields onto the report:
In the Toolbox choose Record Notes Master from the drop down list.
In the scrolling window find Text Field and drag it into the B section on the report.

To add the note for the History transactions:
Go into Report Writer (Tools-Customized-Report Writer).
Choose the Tables icon from the top menu bar. In the Tables window, highlight the GL_YTD_TRX_Open and choose the Open button. In the Table Definition window choose the Relationships button. Then choose the New button.
Click on the Ellipsis button. (The button with three periods.)
Select the PM Paid Transaction History file and click OK.
For the Secondary Table Key select: Key 3
Match the appropriate fields:
Primary Table: Secondary Table:
Originating Document Number Document Number
Choose OK. Close the Table Relationship window by clicking on the X in the upper right corner of the window.
Click OK.

You should now be back in the Tables window. This time choose the PM_Paid_Transaction_HIST and choose the Open button.
In the table Definition window, choose the Relationships button.
Then choose the New button.
Click on the Ellipsis button.
Select the Record Notes Master and click OK.
For the Secondary Table Key select: Key 1
Match the appropriate fields:
Primary Table: Secondary Table:
Note Index Note Index
Choose OK. Close the Table Relationship window by clicking on the X in the upper right corner of the window. Click OK.
Close the Tables window by clicking on the X in the upper right corner of the window.

Click on the Reports icon from the top menu bar.
From the Original Reports side, highlight the Trial Balance Detail and choose Insert.
Then, on the Modified Reports side, highlight the same report and choose the Open button.
In the Report Definition window choose the Tables button.

Highlight the PM Paid Transaction History and choose the OK button.

In the Report Table Relationships window, highlight the PM Paid Transaction History and choose the New button.
Highlight the Record Notes Master and choose the OK button.
Select the Close button.

Restrictions:
In the Report Restrictions window choose New.
Name the restriction: Pm Trx History
In the fields section:
Click on the drop down list for Report Table and choose the PM Paid Transaction History.
Click on the drop down list for Table Fields and choose 1099 Amount.
Choose the Add Field button.

In the operators section:
Choose the = button.

In the fields section:
Click on the drop down list for Report Table and choose the PM Paid Transaction History.
Click on the drop down list for Table Fields and choose 1099 Amount.
Choose the Add Field button.
The Restriction Expression should read: PM_Paid_Transaction_HIST.1099 Amount= PM_Paid_Transaction_HIST.1099 Amount

Layout:
Choose the Layout button.
Bringing fields onto the report:
In the Toolbox, choose Record Notes Master from the drop down list.
In the scrolling window, find Text Field and drag it into the B section on the report.

Leaving Report Writer:
Choose the X from the top right corner of the Report Layout window.
Save your changes.
Click OK in the Report Definition window.
From the top menu bar, choose File - Great Plains Dynamics.
Give users access to the modified report in the Security Setup window (Setup - System - Security) within Dynamics.
