INTRODUCTION

You can use queries to see Project Accounting information in Project Time and Expense in Microsoft Dynamics GP. However, the default queries contain data restrictions. To use the default queries, you must be a Project Manager or a Business Manager. This article describes how to create a query by using Business Portal in Microsoft Dynamics GP so that the query does not have Project Manager or Business Manager data restrictions.

  1. Create a new data permission that does not have Project Manager or Business Manager data restrictions:

    1. In Business Portal, click Site Settings on the menu bar.

    2. Click Users and Permissions, and then click Manage Data Permissions.

    3. Click Create data permission.

    4. In the Create a Data Permission window, click Next.

    5. In the Enter Data Permission Name window, type a name and a description for the data permission, and then click Next.

    6. In the Assign Entity to Data Permission window, click an entity, and then click Next.

    7. In the Set Data Restrictions window, click Next.

    8. In the Summary window, click Finish.

  2. Create a query that uses the new data permission:

    1. In Business Portal, click Project on the menu bar.

    2. Click Queries, and then click New Query.

    3. In the Create a Query window, click Next.

    4. In the Select a Data Permission window, click the data permission that you created in step 1, and then click Next.

    5. In the Select Columns window, click the columns that you want to appear in the query, and then click Next.

    6. In the Arrange Columns window, click the order that you want the columns to display in, and then click Next.

    7. In the Restrict Rows window, create any restrictions that you want, and then click Next.

    8. In the Sort Results window, click the order in which you want the information to be sorted, and then click Next.

    9. In the Save Query window, type a name for the query, click a company if the query is specific to one company, and then click Next.

    10. In the Finish window, click Finish.

      The results of the query are displayed.

  3. Click Save Query, and then click Save to save the query.
