Viva Engage sends users notifications by email for all activity in conversation threads across your network. Personalize the notifications receive in your inbox according to your personal notification settings preferences.

Email notifications are sent after a short delay. For information about the notification delay logic, see the [FAQ section](INSERT LINK TO FAQ].

If you receive a notification about new posts, and don't reading the corresponding new content, you won't receive notifications for the same thread. This prevents notifications from piling up when you're away for longer periods.

Admins use new Viva Engage to send essential announcements, although users on both new and classic Viva Engage will receive them. Contact your community admin if you have questions about an email notification outside of your personal email notification settings.

In new Viva Engage, select the Settings button in the header, and then select Edit Settings.

Under Account Settings, select Notifications. Settings only apply to email notifications. 

If you are a member of multiple networks, you have to change email notifications on each network. Select a network name to see notifications settings.

Select the notifications you want to disable, then select Save. Follow the chart below to learn more about the many kinds of notifications and what they mean.

Emails with the subject "Updates from Viva Engage groups" are sent daily, and include a line for each update in each group you belong to.

I receive a message in my inbox

An email is sent for each piece of content that goes to your Viva Engage inbox.

Community admins might sometimes choose to send essential announcements notifications by email. Admins must use Viva Engage to send essential announcements. Please contact your community admin if you have questions about an email notification outside of your preferred email notification settings.

I get new followers

Emails have the subject "You have a new follower on Viva Engage."

I install a new application

An email is sent the first time you sign in to a new Viva Engage application.

I log in from somewhere new

An email is sent the first time you successfully sign in to Viva Engage from a new device.

I post a message via email

If you post to a Yammer group by email rather than from the [Is this the default app we're using to verify func?Teams application, you can choose to receive a confirmation email before the message is posted. These emails have the subject "Viva Engage: confirm your post."

Someone invites me to a group

When someone adds or invites you to a Viva Engage community, you get an email message with a link directly to that community.

Someone likes messages I posted (daily)

Daily summary of conversations which your coworkers liked, with the subject "[user_name] likes your messages on Viva Engage".

Someone requests to join a private group I administer

When someone requests to join your private group, the admin receives an email that requires your authorization or denial of the request.

There are highlights from groups I haven't joined (weekly)

Weekly digest of what's been posted in public groups you haven't joined. This surfaces trending content, so you're not missing out on what others find important. This digest doesn't include content from any groups you've joined, anything in your Viva Engage inbox, or anything you're read already.

There are new suggestions for people to follow (weekly)

Weekly email listing members of your network that you might be interested in.

FAQ

Q: How do notifications for an All Company announcement differ from those for a group announcement?

A: Announcements sent to the All Company group are immediately sent to all inboxes and all users via email, regardless of notification settings. If you haven't read the announcement in Viva Engage within the specific notification delay interval (the time Viva Engage waits for a user to read new content before sending a notification) a push notification is sent via the mobile app.  

Group announcements also generate notifications to the inboxes of all group members, but only send email and mobile notifications to users if:

  • The user has selected to receive notifications when they receive content in their Viva Engage inbox.

  • The user hasn't read the announcement post within the specific notification delay interval (the time Viva Engage waits for a user to read new content before sending a notification).

Q: I have my email notifications from Viva Engage turned off, but sometimes receive email notifications for announcements. Why am I receiving email notifications outside of my preferred  settings? 

A: Community admins increasingly use announcements to distribute important information to community members. When users have their email notifications from Viva Engage turned off, they could end up missing  important updates. Some community admin may choose to send email notifications for essential announcements outside of your preferred settings, to ensure messages are distributed to community members.  

Q: What is the notification delay logic?

A: The length of the notification delay interval (the time Viva Engage waits for a user to read new content before sending a notification) depends on whether the user accesses Viva Engage from a computer or a mobile device.

If a user is on a computer and active on the web, email notifications are delayed for 15 minutes. Notifications to users on mobile applications are delayed for 20 minutes.

Q: When does a thread become an unread push notification?

A: A push notification (subject to delay logic) goes out when there's activity on any Viva Engage inbox conversation that makes the thread state change from read to unread and is not a direct reply, @mention, or private message.

Q: Can I post to Viva Engage via email?

A: You can email to any Viva Engage group or user, and you can reply to notification emails.

  • To email a new message or forward a message to a Viva Engage group, use the email address [font protocol here?] group_name+network_name@engage.cloud.microsoft. If there are spaces or punctuation marks in the group name, omit them. For example, if your Viva Engage domain is Contoso.com, and you want to email to the Marketing Team, use the address [font protocol here?] marketingteam+contoso.com@engage.cloud.microsoft.

    To make sure the address is correct, look up the group's email address. On the home page of a Viva Engage group, in Access Options, select Post to this group by email.

  • To email a new message or forward a message to an individual on Viva Engage, use the email address [font protocol here?] first_part_of_user's_Yammer_email_address+network_name@engage.cloud.microsoft. For example, to send a mail to Viva Engage to LisaG@Contoso.com, use the email address[font protocol here?] lisag+contoso.com@engage.cloud.microsoft.

Q: I'm subscribed to a group via email. What happens to my group subscription?

A: When you subscribe to a group by email you'll receive notifications for new conversations, direct replies, @mentions, and when a message reply changes a thread from a "seen" to an "unseen" status.

Q: Can admins set default email settings for a network?

A: Admins can only change whether emails sent by Viva Engage must be confirmed before sending, and if the logo is included in email messages. Users control their own email notification settings.

Q: Can I unsubscribe from Viva Engage?

A: When your organization is using Viva Engage, you can't unsubscribe yourself. However, you can stop receiving notifications via email. Uncheck all the boxes on the Notifications tab in your settings. You'll still be able to go to Viva Engage to see any messages, but won't receive any emails.

Q: Why do I keep getting emails after I've unchecked the email notification preferences boxes?

A: You may get email notifications if you have more than one identity in Viva Engage. To see if this applies to you, open a new message and type the first few characters of your name. If autocomplete shows your name more than once, you have more than one identity.

Your Viva Engage network admin can remove the extra identities. To find your Viva Engage network admin, click the Viva Engage Settings icon, click People, and then click View network admins.
