INTRODUCTION

This article describes that a country-specific update is available to support European Union (EU) Entry Certificate in Germany and Denmark in Microsoft Dynamics AX 2009 Service Pack 1 (SP1) and in all EU countries in Microsoft Dynamics AX 2012 and AX 2012 R2.This solution contains a certificate issuing part and a certificate receiving part.The issuing part is only available for Germany.The receiving part is available for Germany and for Denmark in AX 2009 SP1 and for all EU countries in AX 2012 and AX 2012 R2.

Issuing EU entry certificates

A German company can set up issue of an EU Entry Certificate. This certificate can be printed together with delivery documents. The certificate has a mandatory layout in either German or English language. After you issue a certificate, you can manage issued certificates in a special certificate management journal. This update enables the following features:

  • For relevant customers, in the customer record form, mark the following parameters:

    • Entry certificate required This parameter must be marked if either own certificates are issued or third party certificates are expected.

    • Issue own certificates This parameter must only be marked in case of printing own certificates.

  • In the Accounts Receivable Parameters form, set up a number sequence for Entry certificate.Note This number sequence is only required if own certificates are printed.

  • In the sales order form, the Entry certificate required and Issue own certificate parameters are defaulted from customer setup but can be changed manually.

  • The certificate can be printed either at the time of packing slip posting or invoice posting (user's choice). This option is selected by the user prior to posting.

  • You can look up/reprint/cancel or reissue certificates created from packing slips under the following locations:

    • Sales order (inquiry on packing slip)

    • Packing slip journal

  • You can look up/reprint/cancel or reissue certificates created from invoice under the following locations:

    • Sales order (inquiry on invoice)

    • Invoice journal

  • The Entry certificate is printed in either the German or English version of the mandatory layout, depending on the language of the customer.

Receiving signed certificates

When a company receives an entry certificate that is signed by a customer in the destination country, the certificate can be uploaded and linked to a relevant invoice as proof of EU delivery. This proof is necessary for issue of an invoice without VAT and this proof must be available for audit by tax authorities. The solution can be used for all received certificates. This includes certificates that are issued by the company and certificates from a third-party (for example, a transportation company). This update enables the following features:

  • A new Entry certificate journal is available from Account Receivable Journals to manager receive certificates. All issued certificates are shown in the upper section of this journal. In this journal, you can also create new records for third party certificates.

  • Certificates signed by customers can be uploaded as documents in document management. An uploaded certificate will automatically activate marking on the certificate line - field for Uploaded certificates.

  • In the lower section of the Entry certificate journal, you can create new lines. When a line is created, you can look up invoices for this certificate. For third party certificates, the look up will show invoices for the customer for which a third party certificate line has been created in the uppers section of the form.

  • The source of audit is the Invoice journal. In the Invoice journal, for each invoice, you can see if a signed certificate from a customer is required or not required (default from customer/sales order setup), or if a signed certificate has already been received.

  • You can change the certificate status of the invoice by using the Entry certificate button and the Change Status option.

Restart requirement

You must restart the Application Object Server (AOS) service after you apply this update.
