Note:Â Currently, this feature is only available if you're using a work or school account in Outlook on the web or Outlook on iOS or Android.
If you're using Outlook at work or school, you can find information about individuals in your organization on their profile card. The details that appear on this card is managed by your IT department and consists of information such as an individual's profile photo, email address, contact information, and other organizational info. If your admin allows, an individual's profile card is visible to everyone in the organization.
You can also add someone from your organization to your personal contact list in Outlook. When you add an organizational contact by selecting Add to contact (or New contact), that contact will appear in your personal contact address book and any changes you make to that contact card is only visible to you.Â
When Outlook detects a matching email address between a person added to Your contacts and a contact that already exists in your organization, the contacts are automatically linked on a combined profile card along with the sources that contributed to the combined card.
How you manage linked sources on a combined profile card depends on if you're using new Outlook or Outlook on the web with your work or school account. Select the tab for your Outlook version.
View a combined profile card and its sources in Outlook on the web
To view the different contact details and where they came from, open a combined contact card from People.

Select the Contacts tab on the profile card. The profile card header always prioritizes information from the organization.

To view the source for details on a combined profile card, hover over it. For example, you can hover over the Phone or Categories details to determine if that info was sourced from your personal contacts, your organization's data, or both.

Manage linked sources on a combined profile card in Outlook on the web
If a profile card contains information from multiple sources, a Manage sources link appears on the Contact tab under Contact Information. You can view the sources by selecting the Manage sources link.

From the combined profile card, select Manage sources.

On the Manage linked contacts and people page, a list of all the different sources for that contact appears. You can choose to unlink or delete sources of your choosing, but you can't modify or delete any information sourced from your organization.
Unlink sources from the combined profile card
You can unlink sources to keep them separate.

From the Manage linked contacts and people page select Unlink. This unlinks the source and removes all associated attributes from the combined profile card.

Unlinking a contact or profile results in the unlinked contact appearing as a separate entry in your contact list in People.
​​​​​​​When searching for this contact from within Outlook or from the People app, two results appear: the contact you manually added to your contacts, and the profile managed by your organization. ​​​​​​​
Delete sources from the combined profile card
To delete a source, select the source for the contact you want to remove and then select Delete. You can only delete your own contacts. To update or delete an organizational profile, contact your IT admin.
When deleting someone added to Your contacts note the following:

The contact details won't be available anymore and when you delete the contact, the link between the organizational profile is also deleted.

To recover the deleted contact, go to People and find the contact in your Deleted folder. Right-click the contact and select Restore. The contact remains in your deleted folder based on policy settings managed by your IT admin. Contact your admin for more details regarding this setting.

When you restore a deleted contact, the contact is no longer linked as a source.

If the user leaves the organization, the contact remains in your contacts, but only with the details you added.

Export contacts in Outlook on the web​​​​​​​
Important:Â Information from organization profile can't be exported. If you need help with organization profile contact information, please contact your IT admin.

Export unlinked information from a profile in Outlook on the web
To unlink a source from a select the unlink button. This does the following:

The source that you unlinked will be removed from the original person it was linked to

The contact in your personal contact list will no longer have this source
The exported list appears as a JSON file in your Downloads folder. When you export an unlinked profile you'll have two lists:

existing items
are the sources that the user unlinked from.

modified items
are the sources that the user unlinked.

Add an organizational contact in Outlook mobile

On the profile card of any organizational user, select Add to Contacts.

The contact will be added to your personal contact list. You’ll see their organizational details—such as job title, phone number, and email—on their profile card.
The profile card always prioritizes information from the organization in the profile card header.Â
Any updates made in the directory (e.g., a new job title or phone number) will automatically be reflected on the profile card.​​​​​​​
Edit an organizational contact in Outlook mobile

Select Edit Contact on the contact’s profile card.

You can edit basic details such as the name and email address and add additional information if needed. However, all fields from the profile card may not appear in the editor—this is because the contact details are sourced from the organizational directory and are managed by your IT department, making them read-only.
Note:Â Older contacts created before this feature was introduced may include more fields than just name and email address.
Unlink your contact from the organizational profile

Go to Outlook on the Web to unlink a contact from the organizational profile.

Once unlinked, the contact in your personal list will no longer display information from the organizational profile.
