Create and use modern pages on a SharePoint site

Use pages to share ideas through images, Excel, Word, and PowerPoint documents, video, and more. Pages work across devices.

You can add and customize web parts before you publish a page.

Note

  • Some functionality is introduced gradually to organizations that opted in to the Targeted Release program. This feature might not be available to you yet, or it might look different than what is described in the help articles.
  • If you're a site member with edit permissions, you can add pages. If you can't add a page, your administrator might have turned off this ability.
  • This article applies to modern pages in SharePoint in Microsoft 365, SharePoint Server Subscription Edition, or SharePoint Server 2019. If you're using classic pages or an earlier version of SharePoint, see Create and edit classic SharePoint pages.
  • You can create modern pages only in the Site Pages library. Also, you can't change the URL of a page.

Add and publish a page

Create a page in SharePoint Publish

  1. Navigate to the Publish experience in the SharePoint application bar to create a page.
  2. In Publish, select +Create, and then select Page.

Create a page in a SharePoint site

  1. Go to the site where you want to add a page.

  2. Go to the home page of the site.

  3. Select + New, and then select Page.

    You can also create a page from an existing page or the SharePoint app bar:

    • From an existing page, select + New > Page.
    • To reuse the web parts and content from an existing page, select Copy of this page.
    • From the SharePoint app bar, select Create > Page.
  4. Select a page template to start with. For this example, use the Blank template. Then select Create page.

    To create a private draft, select Create as a private draft. Private drafts are only visible to you and the people you share them with.

  5. Add a page title in the top area where it reads Add a title. You need a page title to save the page. For more information, see Customize the title area.

Add web parts

Web parts are the building blocks of your page. For more information about the different types of web parts and how to use them, see Using web parts on pages.

  1. Use one of the following methods, depending on whether the content pane is enabled:

    • Content pane enabled: Select Toolbox Toolbox icon in content pane on the right to add content like text, documents, video, and more.

    • Content pane not enabled: Hover your mouse below the title area. When a line with a circled plus sign appears, select + to add content like text, documents, video, and more. Plus sign for adding web parts to a page

  2. You can also add sections and columns to a page. To learn more, see Add sections or columns on a page.

  3. When you finish editing, select Save as draft to save your changes and close edit mode. Your audience can't view or read the page until you publish it. Only people with edit permissions on your site can access it.

    Note

    Instead of Save as draft, you might see Save and exit in the command bar. This change means your organization has pages coauthoring capability where you can invite other authors to edit the same page or news post at the same time. For more information, see Collaborate on SharePoint pages and news with coauthoring.

  4. When you're ready for your audience to view and read the page, select Publish.

Customize the title area

You can customize the title area with an image, six layouts, text above the title, a different displayed author, or the published date. You can also remove the title area.

  • Remove the title area
    To remove the title area, select Delete web part in the left toolbar.

    After you remove the title area, select Undo or add a Banner web part to restore it.

  • Add an image
    To add an image, select Add image Add image button in the left toolbar.

    If you want to replace an image, select Change image in the left toolbar.

    Select a recent image or get an image from stock images provided by Microsoft, from a web search, your site, your computer, or a link. If your organization has specified a set of approved images, you can select from that set under Your organization.

    Note

    • Web search uses Bing images that utilize the Creative Commons license. You're responsible for reviewing licensing for an image before you insert it on your page.
    • Images look best when they're landscape or 16:9 or greater in aspect ratio, and when they're at least 1 MB in size. For more information about image sizing, see Image sizing and scaling in SharePoint modern pages.
    • If you're a SharePoint admin and want to learn how to create an asset library for your organization, see Create an organization assets library.
    • If you're a SharePoint admin, we recommend enabling a Content Delivery Network (CDN) to improve performance for getting images. Learn more about CDNs.
  • Set a focal point

    Set a focal point to keep the most important part of your picture in the frame. Select Set focal point Set focal point button in the toolbar on the left, and then drag the focal point within the image.

  • Add or change displayed page author

    In the title area, add a name, partial name, or email name in the author box. The name is searched against your organization's profiles, and you see suggested people. Select the one you want. If you don't enter a name, an author byline doesn't show.

  • Select a layout

    Select the Edit web part button Web part edit button . If the content pane is enabled, select the Edit properties button  Button for edit properties instead. Then, select a layout in the toolbox on the right.

  • Set alignment
    If the toolbox isn't already showing, select the Edit web part button Web part edit button , and in the toolbox on the right, select Left or Center.

    Alignment isn't available for the Fade or Author layouts.

  • Add text above the title
    Add text in a colored block above the title to provide context or call attention to information on the page. In the following example, NEW appears above the title. The block color is based on your site theme.

    To add the text above your title, select the Edit web part button Web part edit button , and in the toolbox on the right, enter up to 40 characters of text in the Text above title box. Then, change the Show text block above title toggle to Yes.

  • Show or hide published date
    Select the title area, select the Edit web part button Web part edit button , and then use the Show published date toggle. When enabled, the title area shows the date when the page was most recently published.

  • Add the page title
    In the first Banner web part at the top of the page (previously the title area) or in the Title box on the command bar, enter up to 255 characters.

    Note

    You need a page title before you can Save and exit or Publish the page.

  • Change the page name
    SharePoint automatically generates the page name when you first enter a page title. To change the page name, enter Edit mode, select Page details on the command bar, and make your changes.

Help others find your page

When you publish your page for the first time, the portal prompts you to help others find your page. If you want to do this later, select Amplify if your organization has a Microsoft Viva Employee Communities & Communications license. Otherwise, select Promote. These options appear at the top of the page after you publish it.

Use one or more of the following options:

  • News: Converts this page to a News post on your site. For more information about News, see Keep your team updated with News on your team site.
  • Email: Send an email with a preview of the page and an optional message to your selected recipients.
  • Viva Engage: To use Engage, first convert the page to a News post. You can then cross-post the page through your organization's Viva Engage channels, with full-fidelity rendering and synchronized comments across SharePoint and Viva Engage.

Edit your page and manage spellcheck and grammar with Editor

To make changes to your page, follow these steps:

  1. Select Edit at the top right.
    When you select Edit, you enter the edit mode for the page. On most modern SharePoint sites, coauthoring is enabled by default, allowing multiple people to edit the same page simultaneously. You see presence indicators showing other editors working on the page.
    On sites without coauthoring enabled, the page is checked out to you and "locked" so no one else can edit it until you save, discard changes, or the page times out after 5 minutes of inactivity.

  2. Make your changes. For help with page layouts and web parts, see Add sections and columns on a page and Using web parts on SharePoint pages.

  3. When you're done making changes, select Save and exit to save your changes and close edit mode.

    Note

    On modern SharePoint sites, Save and exit in the command bar indicates that coauthoring is enabled. This allows you to invite other authors to edit the same page or news post simultaneously. On sites without coauthoring, you see Save as draft instead. For more information, see Collaborate on SharePoint pages and news with coauthoring.

  4. If you're ready for users to view and read your changes, select Republish. For more information about publishing and the lifecycle of a page, see Management and lifecycle of a SharePoint modern page.

    Tip

    To publish your changes immediately without saving a draft, select Republish.

To check spelling and grammar with Editor within Text web parts on your page:

  1. Select Edit at the top right.
  2. Select Page details at the top of a page that you already published.
  3. In the page details pane, adjust the toggle under Use Editor to check spelling, grammar, and more to On or Off.

Note

  • You need specific permissions to edit and rename pages. If you can't rename a page, contact your site administrator to ensure you have Delete Items permission. If you can't edit a page, ensure you have Browse User Information permission.
  • If you're used to working with customized pages and site definitions, know that this type of page has no association with a site definition; therefore, it can't be reset to a site definition.

You can undo or redo changes as you work. Select Undo, and then select Undo or Redo from the menu. You can also use Ctrl+Z or Ctrl+Y, respectively.

Use page anchors (bookmarks)

SharePoint automatically adds page anchors (also called bookmarks) to Heading 1, Heading 2, and Heading 3 styles in Text web parts. On a published page, hover over or tab to a heading to display the link symbol. The hyperlink symbol.

Right-click a page anchor and select Copy link. You can then paste the page anchor into an email, message, or another location.

To link to a Heading 1 from somewhere else on your page, add a hyperlink to the text you want to link from, then paste the URL of Heading 1 link, as in this example:

Comments, likes, and views

Readers can leave comments and likes at the bottom of your page. You can also see how many views the page has. Hover over Likes to see some of the people who liked the page, or select Likes to see the complete list.

When someone likes or comments on a page or news post you created, or mentions you by using @, you're notified by email.

Note

Comments, likes, and views aren't available on site home pages.

Save for later

Readers can select Save for later at the bottom of the page to find it again. After they select the option, it changes to Saved for later and the associated icon is filled in. The Comments section of a SharePoint page lets readers give feedback to the author.

Note

Save for later isn't supported for guest users. They might be able to select Save for later, but the item isn't saved.

When you select Saved for later, the Recently saved items list appears. Select See all saved items to view the complete list.

Use Immersive Reader in pages

Immersive Reader helps your audience focus on site content. It includes built-in text-to-speech and word-in-line highlighting.

Users can adjust the reading speed, voice, and text appearance. Immersive Reader can also translate page content into many languages.

To use Immersive Reader:

  1. Select the Immersive reader option in the task bar.
  2. When the Immersive Reader page appears, adjust the Text preferences Text preferences icon , Grammar Options Grammar Options icon , and Reading Preferences Reading Preferences icon .
  3. After you select your Immersive Reader experience preferences, select Play at the bottom of the screen.

Note

The Immersive Reader feature isn't available on the home page.

Hide or show header and navigation

Hide the header and navigation to reduce distractions and focus on the page content.

Share your page

Sharing a SharePoint page or news post works the same way as sharing Word, Excel, and PowerPoint files. The page editor or site owner can grant access to specific users or the entire organization without sharing the entire site.

Note

This page-sharing feature is available only for modern SharePoint site home pages, news posts, and pages. This sharing experience respects all site-level and organization-level file-sharing settings.

To share a page, select the Share button at the top of the page.

From the Share menu, select Share page to open the sharing dialog. You can then email a link to the page.

Note

The Share page command shares only the page and items that you uploaded directly to it, such as images and files. If you see a warning banner, the page includes content stored in another OneDrive or SharePoint location, such as embedded documents, videos, or SharePoint lists. Verify that this content has the appropriate permissions before you share the page.

Select Copy to create a sharing link that you can paste in a Teams chat or another document.

Select Share page or Copy link to page to let others contribute content or read the page. The resulting sharing link can grant access to recipients who don't already have it.

Select Send to email to send a link, thumbnail preview, description, and optional message to one or more recipients, including distribution groups or lists. This email link doesn't grant access and works only for people who already have access to the site.

Where are pages stored?

The Pages library for your site stores the pages that you create, save, or publish. To access the Pages library:

  1. Go to the site where your page is.

  2. On the top or left-side navigation, select Pages.

    Note

    If Pages isn't listed on the left side of your SharePoint site, select Settings > Site Contents in the upper right. Then on the left, select Pages.

    The site owner might designate a folder within the Pages library for your page.

Delete your page

Site owners and administrators can delete modern pages. For more information, see Delete a page from a SharePoint site.
