Use a screen reader to join a meeting in Microsoft Teams

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use your keyboard and a screen reader to accept or decline meeting invitations, and to join meetings in Microsoft Teams for Windows. We have tested it with JAWS and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll also learn how to mute and unmute your audio, turn the camera on or off, check who has joined, and send messages during a meeting.

  • Recent versions of JAWS no longer have the virtual PC cursor mode set as default for Microsoft Teams. For instructions on how to switch the virtual PC cursor mode on, go to Enable the JAWS virtual cursor.

  • To quickly access the keyboard shortcuts list from within Microsoft Teams, press Ctrl+E, type the forward slash character followed by the word keys, and then press Enter.

Accept or decline a meeting invitation

  1. In Microsoft Teams, press Command+4 to go to the Calendar view. The calendar grid view opens.

  2. Press the Tab key repeatedly until you find the meeting you want.

  3. Once on the right meeting, press Shift+F10. The context menu opens.

  4. Press the Right arrow key until you hear the option you want, and press Return to select.

    The meeting is accepted or declined and an email reply is sent to the meeting organizer.

Join a meeting

  1. In Microsoft Teams, press Command+4 to go to the Calendar view.

  2. Press the Tab key repeatedly until you find the meeting you want, and press Return. The meeting details view opens.

  3. To join the meeting with the default settings, press Spacebar again.

  4. To leave the meeting, press the Tab key repeatedly until you hear "Hang up," and press the Spacebar.

Mute or unmute your audio

While in a meeting in Microsoft Teams, press Command+Shift+M to mute or unmute your microphone.

Turn the camera on or off

While in a meeting in Microsoft Teams, press Ctrl+Shift+O to turn the camera on or off.

Check who has joined the meeting

  1. While in a meeting, press the Tab key until you hear "Show participants," and press Return. The Participants pane opens.

  2. Press the Tab key until you hear: "In this meeting." Then press Control+Shift+Down arrow key to browse the list. You hear the name and status of each participant who has joined the meeting.

  3. To close the People pane, press Shift+Tab until you hear "Close right pane," and press Spacebar.

Send and read messages during a meeting

  1. While in a meeting, press the Tab key until you hear "Call controls region."

  2. Press the Right arrow key until you hear "Show conversation," and press Return. The meeting chat pane opens.

  3. The focus is in the text field for a new message. Type your message, and press Return to send it.

  4. When others post messages, your screen reader announces them. To browse and read the sent messages, press Shift+Tab once to move the focus to the messages list, and then press the Right or Left arrow key.

  5. To close the chat pane, press Shift+Tab until you hear "Close right pane," and press Return.

Leave a meeting

  1. While in a meeting in Microsoft Teams, press the Tab key until you hear "Call controls region."

  2. Press the Right arrow key until you hear "Leave," and press Return.

Join a meeting

  1. In Microsoft Teams, to go to the app bar at the bottom of the screen, tap the lower part of the screen with four fingers. You hear: "More." Swipe left to move to the Calendar tab and double-tap the screen. The Calendar view opens.

  2. To move the focus to the top of the screen, tap the upper part of the screen with four fingers. You hear: “More menu.”

  3. Swipe right until you hear the meeting you want to join, then swipe right again to move to the Join meeting button, and double-tap the screen.

  4. If Microsoft Teams requests access to your camera, swipe right until you reach the OK button and double-tap the screen.

  5. You can select to join the meeting with your video on or off. To find out the current setting, swipe right until you hear “Video is off” or “Video is on.” To switch the video on or off, double-tap the screen.

  6. You can also select to join the meeting with your audio on or off. To find out the current setting, swipe right until you hear “Mic is off” or “Mic is on.” To switch the audio on or off, double-tap the screen.

  7. Swipe right until you reach the Join now button, and double-tap the screen.

Mute and unmute your meeting audio

In a Microsoft Teams meeting, swipe right or left until you reach the Mute microphone or Unmute microphone button, and double-tap the screen to mute or unmute.

Turn the camera on or off

In a Microsoft Teams meeting, swipe right or left until you hear "Turn off video" or "Turn on video," and double-tap the screen.

Check who has joined the meeting

You can check who is participating in the meeting and what is their current status.

  1. While in a meeting, swipe left or right until you hear your user name and double-tap the screen.

  2. Swipe right until you hear "Participants," and double-tap the screen. The Meeting participants view opens.

  3. To browse the list of participants, swipe right or left. You hear each participant's name and status.

  4. To close the Meeting participants view and return to the meeting view, swipe left until you hear "Back button," and double-tap the screen.

Send and read messages during a meeting

You can send messages to other participants, and read messages others have sent.

  1. While in a meeting, swipe left or right until you hear your user name and double-tap the screen.

  2. Swipe right until you hear "Chat," and double-tap the screen. The Chat view opens.

  3. To type a message, swipe right until you hear "Type a message," and double-tap the screen. Use the on-screen keyboard to type. Once you're done, swipe left until you hear "Send," and double-tap the screen to send the message.

  4. To browse and read messages others have sent, swipe right or left. You hear the message content and when it was sent.

  5. To close the Chat view and return to the meeting view, swipe left until you hear "Back button," and double-tap the screen.

Leave a meeting

In a Microsoft Teams meeting, swipe right until you reach the Hang up call button, and double-tap the screen.
