On the Calendar tab in Outlook Options, you can, among other things:

  • Set your available work time hours and days.

  • Change the appearance of your Outlook calendar.

  • Add holidays to your calendar.

  • Set your time zone.

  • Set options for the Scheduling Assistant.

  • Show the weather on your calendar.

Work time

Use these settings to customize your work time.

Setting

Description

Start time

Use this list to select the time you want to start your work day. Selecting a start time informs other users when your work day starts so they can check your availability and schedule meetings.

End time

Use this list to select the time you want your work day to end. Selecting an end time informs other users when your work day ends so they won't schedule meetings after your work day ends.

Work week

Select the days to display when you choose the Work Week view in the calendar.

First day of week

The day you select here will appear as the first day of the week in Week view.

First week of year

Choose where to start the numbering for the first week in a year: the first day of the year, the first four-day week, or the first full week.

Calendar options

Use these settings to customize various options for your calendar and meeting requests.

Setting

Description

Add online meeting to all meetings

Select this option to have Outlook add online meeting information to each new meeting you create.

Default duration for new appointments and meetings

Use the list provided to select a default time duration for each new meeting or appointment.

Shorten appointments and meetings

Select this option to enable additional options for shortening the length of meetings that would be less than an hour or longer than an hour.

Default reminders

Use the list provided to select a default amount of time to be reminded before a meeting begins.

Allow attendees to propose new times for meetings

Select this option if you want attendees of your meeting to be allowed to propose alternate times for the meeting.

Use this response when proposing a new meeting time

Select Tentative, Accept, or Decline as the default response when you propose a new meeting time to someone else's meeting request.

Add holidays to the calendar

Click the Add Holidays button to add additional holidays to your Outlook calendar. For more information, see Add holidays to your calendar in Outlook for Windows.

Change the permissions for viewing Free/Busy information

Click the Free/Busy Options and Other Free/Busy buttons to set permissions on people viewing your free and busy times on your calendar. For more information, see Share an Outlook calendar with other people.

Enable an alternate calendar

Select this option to enable two additional provided lists where you can choose alternate calendars.

When sending meeting requests outside of your organization, use the iCalendar format

Select this option to use the iCalendar format when you send meeting or appointment requests to people outside your organization.

Show bell icon on the calendar for appointments and meetings with reminders

Select this option if you want Outlook to display a bell icon on your calendar next to each meeting and appointment when the meeting organizer set up a reminder.

Display options

Use these settings to customize various display options for your Outlook calendar.

Setting

Description

Default calendar color

Select from the list provided a default color for appointments and meetings.

Use this color on all calendars

Select this option to apply the default calendar to all calendars you use in Outlook.

Show week numbers in the month view and in the Date Navigator

Select this option to show the number of the week when you view the calendar in Month view. Week numbers can appear in the calendar month view and on the Date Navigator in the folder pane. Week numbers restart at the beginning of each year.

When in Schedule View, show free appointments

Select this option to see free appointments and meetings in the Schedule View.

Automatically switch from vertical layout to schedule view when the number of displayed calendars is greater than or equal to

Select from the list provided the number of displayed calendars when Outlook will switch from vertical layout to schedule view.

Automatically switch from schedule view to vertical layout when the number of displayed calendars is fewer than or equal to

Select from the list provided the number of displayed calendars when Outlook will switch from schedule view to vertical layout.

Time zones

Use these settings to Add, remove, or change time zones.

Scheduling assistant

Use these settings to customize your Scheduling assistant experience.

Setting

Description

Show calendar details in ScreenTip

Select this check box to have Outlook display details about your calendar meetings and appointments in ScreenTips.

Show calendar details in the scheduling grid

Select this check box to have Outlook display details about your calendar meetings and appointments within the Calendar view scheduling grid.

Automatic accept or decline

Clicking the Auto Accept/Decline button opens a dialog box with three options to control how events are added to your calendar and how meeting invitations and responses are handled.

Setting

Description

Automatically accept meeting requests and remove canceled meetings

Select this check box to automatically add events detected in email to your calendar.

Automatically decline meeting requests that conflict with an existing appointment or meeting

Select this check box if you want Outlook to automatically decline all incoming meeting requests that conflict with other existing meetings and appointments on the same day and time on your calendar. Outlook sends a decline notice to the meeting organizer on your behalf.

Automatically decline recurring meeting requests

Select this check box if you want Outlook to automatically decline any incoming meeting requests that are set up to be recurring meetings. Outlook sends a decline notice to the meeting organizer on your behalf.

Weather

Use the settings here to customize your weather experience. Note, the ability to change a weather location is not yet available in the new Outlook on the web.

Setting

Description

Show weather

Select either the Show weather or Hide weather option.

Choose temperature scale

Select either Fahrenheit or Celsius as the temperature scale to use.

Meeting Insights

With Show Meeting Insights selected, Outlook helps you show up prepared to your meetings by suggesting emails and files that are relevant to the event or attendees.

After you change the settings on this page, click OK to apply your changes.
