Copilot Chat can help you manage an executive's calendar when you have delegated access. After you switch to the executive's account, Copilot can search that calendar, help schedule meetings, and assist with triage tasks in the correct calendar context.
How delegated calendar access works
In Copilot Chat, the Change account option shows the accounts and calendars that you can manage. When you select the executive's account, Copilot uses that calendar for supported calendar actions.
This means you can work in the executive's context without moving between separate calendar tools.
What you can do
With delegated calendar access, you can ask Copilot Chat to:
- Find meetings or events on the executive's calendar.
- Schedule new meetings on behalf of the executive.
- Review calendar requests and help triage conflicts.
You can refine requests with natural language. For example, you can search by attendee, meeting subject, date, time range, or other calendar details.
Get started with delegated calendar access
1. Open Copilot Chat
Open Copilot Chat and select the More options (⋯) menu.
Select Change account.
2. Select the executive's account
Copilot shows the accounts and calendars that you have delegated access to.
Select the executive whose calendar you want to manage. For example, if you are Briana Hernandez's delegate, select Briana.
You can only manage calendars for accounts where you have the required delegated permissions.
Search the executive's calendar
After you select the executive's account, you can search for meetings and events on that calendar.
Example requests:
- "Find Briana's meeting with Arum."
- "Show meetings with Arum this week."
- "Find Briana's 1:1 with Arum from last week."
Copilot searches the selected calendar and returns matching meetings. This can help you locate items without opening multiple calendar views.
Schedule a meeting on behalf of the executive
You can also ask Copilot Chat to help schedule a meeting for the executive.
1. Select the executive's account
From More options (⋯) > Change account, select the executive whose calendar you manage.
2. Describe the meeting
Ask Copilot to schedule the meeting.
Copilot checks the relevant calendars and identifies available time slots.
3. Choose a time
Review the available options and select the time that works best.
4. Send the invitation
After you select a time, send the meeting invitation from Copilot.
The meeting is created on behalf of the executive by using the delegated calendar context.
Triage calendar requests
If a meeting conflict or another calendar item needs attention, ask Copilot to help identify the issue and suggest the next action.
For example, you can ask Copilot to help you review a conflict, locate the related meeting, or find an available time for a new request.
What you need
To use these delegate experiences, you need:
- The appropriate delegated calendar permissions for the executive.
- The executive's account to appear under Change account in Copilot Chat.
- The Copilot and calendar capabilities enabled in your organization.
