Event planning can be an overwhelming task, requiring precise organization, collaboration, and coordination. But with Copilot for Microsoft 365, you can simplify and enjoy the process of creating memorable events!

For this example, let's see how Jane uses Copilot for Microsoft 365 to plan an amazing event! 

Meet Jane, a candle shop owner

A small business owners uses Microsoft 365 apps.

Jane loves making candles and selling them to her loyal customers. She wants to show her appreciation by hosting a special event at her shop. She has a lot of ideas but needs some help to organize and execute them. She wants to feel confident that her event will be a success and that her customers will love it. 

Use Copilot in Loop to brainstorm ideas

Jane starts with Loop to get inspiration for planning her event. 

  1. She opens a new workspace and types "/" to select Copilot.

  2. Jane sees a few prompt suggestions made by Copilot. She clicks through the Brainstorm prompt for inspiration, then types into the text box:

    Brainstorm ideas for a candle shop's customer appreciation event.

  3. Copilot generates a list of suggestions for Jane. She reviews them and refines the list with Copilot to pick out her favorite ones.

Tip: If you're not satisfied with Copilot's suggestions, try adding more details to the prompt about what you want! Play around with the tone, format, or ask for a more specific subset of ideas. For more tips on using Copilot in Loop, visit Welcome to Copilot in Loop. 

Use Copilot in Outlook to communicate with your team

Jane has a small team of employees who help her run the shop. She wants to involve them in the event planning and assign them some tasks. She decides to send an email to notify them about the meeting and set the agenda. 

  1. She opens New Outlook to start a new message. She clicks the Copilot icon from the toolbar and selects Draft with Copilot.

  2. In the Copilot box, she types:

    Ask the team to bring a few ideas for our customer appreciation event.

    Jane chooses the length and tone she wants and selects Generate.

  3. Copilot creates a draft of the message. Jane reviews the draft and is satisfied with the result. She selects Keep. 

  4. Jane adds a link to the Loop workspace she started so her team can join to collaborate. She sends the email to her team.

Tip: Choose between different lengths - such as short, medium, or long; and or try a different tone - such as casual, direct, or formal. You can even turn your email into a poem! Want more help writing emails with Copilot? See Welcome to Copilot in Outlook

Using Copilot in Teams for effective meetings

Jane and her team use Teams to meet. They choose to record and transcribe the meeting, during which, they review the Loop workspace and use chat to share ideas.
 

Note: Meetings must be transcribed to enable Copilot. 

  1. Jane selects the Copilot icon from the upper-right corner of the screen. At the bottom of the Copilot box, she sees a list of prompt suggestions.
     

    Tips: Try prompts within the Copilot compose box, such as:

    • Where do we disagree on this topic?

    • What questions can I ask to move the meeting forward?

    • Create a table with the ideas discussed and their pros and cons.

  2. A few minutes before the meeting is scheduled to end, Jane selects the "Recap the meeting so far" prompt. 

  3. Copilot generates a summary that includes:

  • The main points and decisions made during the meeting.

  • The action items and deadlines for each team member.

  • The next steps and follow-up tasks.

Tips: 

  • List action items.

  • Suggest follow-up questions.

  • List the main items we discussed.

  • Generate meeting notes.

Jane and her team are happy with the meeting outcome. They end the call and get ready to work on their tasks. Jane is excited about the progress they've made and is looking forward to the event!
