Include people in important discussions, presentations, and more by inviting them to meetings in Microsoft Teams. There are several different ways to invite people to a meeting, depending on whether you organized the meeting.

The type of meeting you invite someone to, how you invite them, and the relationship that person has with your org, can all impact their access to certain meeting features, like meeting chat. To learn more, see Access meeting chat in Microsoft Teams.

Note: Up to 1,000 invitees can join and participate during a Teams meeting. Up to 10,000 invitees can join as view-only attendees in meetings that already have 1,000 participants.

Add people to a meeting

Add people directly to a meeting before and after you schedule it. When you add someone to the meeting, they’ll automatically receive an invite and the meeting will appear in their Teams calendar.

To add someone directly to an event:

  1. Select Calendar Teams Calendar tab icon in Teams.

  2. Schedule an event or select an existing one and select More options  Generic Ellipsis button> Edit Edit icon.

  3. In the Invite required attendees Fluent 2 people icon small field, enter who you want to add.

    • Select Response options  People settings icon Teams > Add optional attendees to add optional attendees.

  4. Select Send  Send icon.

Request someone to join

Request someone to directly join a meeting you’re in. That person can join directly from the request notification. They’ll also have access to the meeting chat, whether they join or not. To learn more, see Access meeting chat in Microsoft Teams.

To request someone to join a meeting you’re in:

  1. Select People People or Show Participants button in your meeting controls.

  2. Search for the participant you want to add.

  3. In the search results, hover over their name and select More options More options icon.

  4. Select Request to join to notify them to join immediately or select Consult and merge to call them first before merging them into your meeting. ​​​​​​​

Merge a call into a meeting

Dial a phone number during a Teams meeting to merge the call into the meeting directly.

To merge a call into a meeting:

  1. Select People People or Show Participants button in your meeting controls.

  2. Type a phone number in the Invite someone or dial a number field.

    Note: To see this option, you must have a phone number assigned to your Teams account and the ability to dial externally. To learn more, contact your IT admin.

  3. Hover over the phone number in the search results and select More options  More options icon.

    1. Select Add phone to dial them into the meeting immediately.

    2. Select Consult and merge to call them separately before you merge the call. If you select this option, you can select Dial pad  Dial pad button in the call controls to enter DTMF tones to navigate IVR menus (e.g., "Press 1 for Sales, Press 2 for Support").

  4. When you're ready to merge the call into your meeting, select Merge calls  Merge calls Teams icon​​​​​​​ in the call window.

Forward a meeting

Invite someone to a meeting you didn’t organize by forwarding the meeting to them. When you forward a meeting to someone, they’ll receive a meeting request that appears to come from the meeting organizer. The meeting organizer will be notified that you forwarded the meeting.

Note: If the organizer turned off Allow forwarding in Response options, you won’t be able to forward the meeting or series.

To forward a meeting: 

  1. Select Calendar Teams Calendar tab icon in Teams.

  2. Select the meeting you want to forward.

  3. Select View event Icon to expand meeting details.

    1. To forward a single event, select Forward Forward button > Forward this event Forward button.

    2. To forward an entire series, select View series View series icon​​​​​​​> Forward  Forward button All events in the series.

  4. In the To field, enter who you want to forward the event or series to.

  5. Add an optional message for the recipient to see.

  6. Select Send Send icon.
